Hostels · WhatsApp marketing

Answer the parent's first WhatsApp message with the page they need.

WhatsApp marketing for a hostel is using WhatsApp Business to answer enquiries, send the fee and rules sheet and keep in touch with families and residents. GullySales works on the setup, the saved replies and the rules about whom you message and when.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

PG and hostel operators: show a real physical business scene illustrating Bed-level occupancy and sharing rates. Set up blocks, floors, room types, rooms and beds as your building is. Each bed shows who is in it, from when and at what rate, with single, double and triple sharing priced apart.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

For hostels

Where it usually goes wrong, and what we would do.

  • “The first message is a question list”

A parent writes one line asking about a bed, then follows with questions about food, fee and visiting. A reply that sends the fee sheet, the walk-through video and the visiting rules together answers the lot.

  • “A personal number mixes everything”

When the warden's own phone carries parent chats, family messages and resident complaints, enquiries are missed. A separate business number with a saved-reply set keeps hostel talk in one place.

  • “Group chats need rules”

A group for residents' parents is useful for notices, but it becomes noisy and shares phone numbers. Decide who may post, what is announced and how individual matters are handled privately.

  • “Consent matters for broadcasts”

Sending offers to every number in the phone is spam to the people who did not ask. Message those who enquired or joined, give a way to opt out and check the platform's current rules on business messaging.

What we do

What we deliver for hostels.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A WhatsApp Business profile

The business number set up with the hostel name, address, hours, description and catalogue of room types.

Result: A parent sees a proper business profile.

  2. Saved replies for the standard questions

Ready answers on fee, deposit, food, visiting hours, curfew, laundry and Wi-Fi, linked to the written sheets.

Result: The same question receives the same correct answer.

  3. A labelling system for chats

Labels such as new enquiry, visited, deposit pending and joined, matched to the enquiry sheet.

Result: The chat list shows where every family stands.

  4. Broadcast and notice rules

A short policy on who is messaged, how consent is recorded and how someone opts out.

Result: Messages go only to people who agreed.

  5. A parents' notice group set-up

A group with posting rules for term dates, fee reminders and holiday notices.

Result: Notices reach all families from one place.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the whatsapp marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Understand current WhatsApp use

We review how customers currently message you and how consistently, if at all, it is answered.

  2. 2

    Audit common questions

We identify the questions that come up repeatedly, which decide what should be automated first.

  3. 3

    Set up automation and templates

An automated first response and quick reply templates are built for the most common needs.

  4. 4

    Connect to the CRM

Conversations are linked to customer records so context carries over between team members.

  5. 5

    Measure and optimise

We track response time and conversion, refining automated responses based on what customers actually ask.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Can we send offers to everyone in our contacts?
No. Message people who enquired or joined and who agreed to hear from you, and give a way to stop. Check the platform's current rules, because business messaging is governed by them.
Should the warden use their own number?
Better to use a separate business number that the next warden can inherit. Chats, saved replies and labels then stay with the hostel instead of leaving with a person.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.

Eight short steps, mostly taps. Skip anything you would rather answer on the call.
