Hotel booking agencies · Follow up systems

Chase the quote that went quiet before a rival books the rooms.

A follow-up system for a hotel booking agency is a set routine for contacting each buyer after a quote, a hold or a completed stay. Group buyers collect quotes from several agents and the one who asks again clearly gets the booking. GullySales writes the routine, the messages and the checks so quotes are not forgotten in peak months.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For hotel booking agencies

Where it usually goes wrong, and what we would do.

  • “The quiet buyer is still comparing”

A planner who has not replied to a quote has not necessarily decided against you. They are collecting other quotes. A polite question about what they still need can bring the conversation back.

  • “A hold with no follow-up lapses”

A block held for a client has a release date. Contact before that date lets the buyer confirm, extend or release it, instead of the agency finding out when the hotel sends a reminder.

  • “Peak season rewards the loudest caller”

When weddings and conferences crowd the calendar, the buyer who phones again gets answered first. A written queue by quote value and release date protects the polite buyer with the bigger group.

  • “After the stay is the best time to ask”

A planner whose group was housed well will tell you about the next event if asked. A question after check-out is how an account's next booking is found, and it is the step most skipped in practice.

What we do

What we deliver for hotel booking agencies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A follow-up rule for each stage

Written steps for after the quote, before a hold ends and after a stay, with who sends each message.

Result: No quote or hold depends on someone remembering.

  2. Message templates

Short messages for a silent quote, a hold nearing its date and a post-stay feedback question, each in your voice.

Result: Coordinators send a clear message without a fresh draft.

  3. A priority queue for peak months

A way of ordering open quotes by value and release date so big accounts do not wait behind loud callers.

Result: The team works the queue in a stated order.

  4. Reminders in the CRM

Dated reminders attached to each quote and hold.

Result: Overdue follow-ups appear on a list you can read.

  5. A post-stay feedback step

A question to each booker after a stay, with the answer recorded against the account.

Result: Complaints reach you before the account drifts away.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How many times should we chase a quote?
A small, agreed number of polite messages, each adding something useful such as a changed availability. Stop when the buyer says no. We help you set the rule and the wording.
Should we call or message?
Follow the buyer's own channel. A planner who wrote on WhatsApp will probably reply there, while a company desk may prefer a call. Record the preference on the account.
Can follow-up be automated?
Reminders can, but the message should read as if a coordinator wrote it. We automate the nudge to the team and keep the wording personal to the account.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
