Resorts · Email marketing

Write to last year's guests before they plan this year's trip, with their consent on file.

Email marketing for a resort is writing to past guests and enquirers who agreed to hear from you, with dates, packages and news of the property. GullySales sets up the consent, the lists and the few mails worth sending, such as the long-weekend opening and the monsoon package.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What email marketing means

Email marketing is sending planned messages to a list of past and prospective customers who have agreed to hear from you. It suits offers, updates and staying in touch with someone who is not ready to buy yet. GullySales writes and schedules these emails and tracks who opens, clicks and enquires.

For resorts

Where it usually goes wrong, and what we would do.

  • “No email address for most guests”

App bookings arrive with a masked address or none at all. Unless someone asks at check-in, the guest leaves and the property never hears from them again.

  • “One list for everyone”

The anniversary couple and the company that ran an offsite get the same mail. Neither finds it relevant, and both stop opening.

  • “Mails sent from a personal Gmail with one big image”

A free address, a poster-sized picture and no text is how a mail lands in spam or Promotions unseen. An address on your own domain and plain wording read as a real person writing.

What we do

What we deliver for resorts.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Email consent at check-in and on the website

A tick on the registration form and a line on the booking page asking permission to email offers, recorded against each guest.

Result: The list is one you are allowed to use.

  2. Lists split by kind of trip

Families, couples, friends' groups and corporate contacts kept apart, with the month each last stayed.

Result: Each mail is about a trip the reader actually takes.

  3. Sender set up on your own domain

An address on the property's domain with the authentication records in place, and a reply address someone reads.

Result: Mail has a better chance of reaching the inbox, and replies reach a person.

  4. A short list of mails that matter

The long-weekend opening, the monsoon package, the year-end booking window, and a note to past offsite organisers before budgets are set.

Result: Mail goes out when guests are deciding, and not otherwise.

  5. Booking path from every mail

Each mail links to the booking page or opens WhatsApp with a ready message, and bookings that follow are counted against it.

Result: You can tell which mail brought a stay.

How the result is measured

  • Open rate
  • Click rate
  • Enquiries from email

Recorded as a baseline before work starts, so every later report has an honest comparison.

What must be in place first

Settle these before the first mail goes to past resort guests.

Where each address came from
Note the source for each address: registration card, website form or direct booking. Leave out addresses copied from app bookings or ID documents.
Consent you can show
Keep the tick and the date. India's data protection law expects consent for marketing and lets people withdraw it, so check its current requirements with your adviser.
A sender on the property's domain
Send from an address on your own domain, not a personal Gmail, with the domain records your email provider asks for set up.
An unsubscribe link that works
Put it in every mail and remove the address before the next send. A guest who cannot stop the mails marks them as spam instead.
Separate lists by trip
Keep families, couples, friends' groups and corporate organisers apart. An offsite organiser at a software company should never get a honeymoon offer.
Someone who reads the replies
Name who answers when a guest replies with dates. A reply that sits in a shared inbox loses the booking the mail had earned.

How it works

How the email marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Understand your list

We review who is on the list, how they got there, and how long it has been since they last heard from you.

  2. 2

    Audit past sends

We check open and click rates from past emails to see what has and has not worked.

  3. 3

    Segment and plan

The list is split into meaningful groups and a sending calendar is agreed.

  4. 4

    Implement content and automation

Emails are written, scheduled and, where useful, set to trigger automatically based on behaviour.

  5. 5

    Measure and optimise

We track performance and adjust subject lines, timing and content based on what the list responds to.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can we buy a list of travellers from a data seller?
No. Those people never agreed to hear from you, many of the addresses are dead, and mailing them puts your domain on spam lists that then block mail to real guests. Build the list from your own stays and enquiries.
Should we send a newsletter or short personal mails?
A short plain note from the owner reads better than a designed newsletter for a small resort. A larger one with events and new cottages to show can justify a designed mail. Give each mail one clear reason to book.
Why do our mails go to spam?
Common causes are a free Gmail sender, missing domain records, a mail that is one large image, and sending to people who did not ask. Fix the sender first, then clean out addresses that bounce or never open.
Can we email guests who booked through Booking.com?
The address an app passes on is meant for that booking. Check the platform's current rules before using it for anything else, and ask for consent at check-in instead, so the guest gives you an address for offers.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
