Tourist guide services · Follow up systems

Reply to the traveller while they are still choosing, even when you are on a tour.

A follow-up system for a tourist guide is the routine that answers an enquiry, chases a quote and asks for a review without depending on memory. GullySales writes the messages and the order they go in, so a tour in progress does not cost a booking.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For tourist guide services

Where it usually goes wrong, and what we would do.

  • “The first reply decides the booking”

A traveller messages several guides and books the first to answer clearly. A guide on a tour with a group cannot reply at that moment, which is why a saved first reply with the fee and the next step matters.

  • “A quote gets no answer and is forgotten”

The traveller says they will think and nothing follows. A short, polite reminder sent a sensible time later, offering to hold the date, brings back some of those who simply got busy.

  • “The end of the tour is the best time to ask”

A guest is happiest at the last stop. A review request sent that evening, with a link, gets a better reply than one sent after the guest is back at work and has forgotten the details.

  • “Thanking the sender is skipped”

A hotel desk or operator that sent the guest does not hear what happened. A short thank-you with a note on how the tour went keeps the desk sending you more guests.

What we do

What we deliver for tourist guide services.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A saved first reply for each kind of enquiry

A WhatsApp reply for tour, group, school and operator enquiries, giving the fee, the meeting point and the next step.

Result: Each enquiry gets a clear first answer, even from the middle of a tour.

  2. A quote reminder

A short, polite message for travellers who have not answered a quote, offering to hold the date.

Result: Quotes are not left hanging.

  3. A review request for the end of the tour

A message with the review link and a thank-you, ready to send as the guest leaves.

Result: Every finished tour ends with a review ask.

  4. A thank-you for the person who referred

A note to the hotel, operator or friend who sent the guest, with a line on how the tour went.

Result: Referrers hear back and keep sending guests.

  5. A rule for who replies when you cannot

A named helper or a saved message that covers you when you are with a group.

Result: No enquiry waits for the tour to end.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Will automatic messages feel cold?
Not if they sound like you. We write them in your voice and keep them short, and you read them before they are used. Check the platform's current rules on automated messages.
What if a traveller does not reply?
Send one reminder and then leave the date open. A second chase can harm the impression you have made, and the traveller knows where to find you.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
