Resorts and homestays · Customer retention

The family that came last December is your easiest booking this December, if someone asks.

Customer retention for a resort or homestay is getting past guests to come back and send friends, measured from your own guest register rather than guessed. GullySales works out from your records who returns, when and why, then sets up direct invitations that do not pay an app's commission.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What customer retention means

Customer retention is keeping an existing customer buying again rather than losing them to a competitor after the first purchase, usually cheaper than winning a new customer. GullySales sets a routine of check-ins and renewal reminders aimed at customers before they show signs of leaving.

For resorts and homestays

Where it usually goes wrong, and what we would do.

  • “Repeat guests rebook through the app”

A family that loved the stay finds you on the app again next year out of habit, and you pay commission on a guest you had already won.

  • “The register records ID, not the trip”

It has names and ID numbers but not the occasion, the cottage they liked or the dish they asked for twice. The next invitation cannot be personal.

  • “Offsite organisers forgotten after the outing”

The HR contact who booked a team outing changes roles, and nobody at the property knew who to keep in touch with at that company.

What we do

What we deliver for resorts and homestays.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A guest register that records the trip

Occasion, cottage, group size, dates, food preferences and booking source added for each stay, with consent to contact.

Result: The next invitation can mention the cottage they liked.

  2. Direct-return offer

Something a returning guest gets only by booking with you, such as early check-in, a bonfire dinner or an upgrade when a better cottage is free.

Result: A past guest has a reason to message you instead of the app.

  3. Occasion reminders for couples and families

A note before the anniversary or holiday they came for last year, sent only to guests who agreed.

Result: The return trip is suggested before they plan elsewhere.

  4. List of past offsite organisers

HR and admin contacts from corporate groups, with the month of the outing and a second contact in case the first one leaves.

Result: Next year's outing reaches whoever books it.

  5. Referral thank-you for past guests

A simple way for a past guest to send friends, with a thank-you they can see, recorded against both names.

Result: Friends of happy guests arrive as direct bookings.

How the result is measured

  • Retention rate
  • Repeat purchase rate
  • Customers won back

Recorded as a baseline before work starts, so every later report has an honest comparison.

Work it out from your records

How a resort or homestay finds its returning guests in the register it already keeps.

Who has stayed more than once
Sort the guest register or booking export by phone number and count stays per number. Those names are the list worth a personal message first.
Which booking source returning guests use
Mark each repeat stay as app or direct. If returning guests keep booking through apps, the direct-return offer is not reaching them.
When returning guests come back
Note the month of each repeat stay against the first one. Summer-holiday families and anniversary couples show you when to send the invitation.
Which kind of trip brings people back
Compare first stays by type: family, couple, friends or offsite. The type that returns most is the one worth marketing harder.
Who has gone quiet
List guests who came back before but not last season. A short message from the host asking how they are is the right first step, not a discount.
What returning guests asked for
Read the notes and chats of repeat guests for the cottage, dish or activity they asked for again. Hold it for them, and mention it when you invite them.

  • Hill-station resorts and cottages

  • Wellness and ayurveda retreats

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is reply time, a follow-up sequence, the page buyers land on or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the customer retention work runs

  1. 1

    Assess current retention

A first read of current retention rate, existing tactics and where they are or are not coordinated.

  2. 2

    Build the strategy

A written plan developed covering priority segments, touchpoints and a measurable target.

  3. 3

    Align existing tactics

Current retention activities mapped against the strategy and adjusted to work together rather than independently.

  4. 4

    Track toward the target

Retention tracked against the goal, with the strategy adjusted as results come in.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

When should we count a past guest as lost?
For a place people visit once a year, a guest who misses their usual season has lapsed. A weekend getaway close to the city sees returns sooner. Read the gap between first and second stays in your own register.
Should we offer a discount to win a guest back?
Start with a personal message from the host asking how they are and mentioning what is new. Keep a discount for a quiet date you need filled, and make it a one-off so it does not become their expected rate.
Who should contact past guests, the owner or the manager?
The person the guest met. At a homestay that is the host family; at a resort it is the manager whose name was on the welcome note. A message from a stranger at the property reads like an advert.
Do repeat guests expect a lower rate?
Some ask. Give recognition rather than price: the cottage they liked held for them, a meal from the cook they remember. A lower rate given once becomes the rate they expect every time.
Ours is a family homestay, not a resort. Is this worth it for us?
Yes, if you want more direct bookings and fuller weekdays. A small property needs fewer pieces: a clean listing, a proper WhatsApp reply and a past-guest list. We can show which of those is missing before you spend anything.
Should we come off Airbnb and Booking.com?
No. The apps bring guests who would never find you otherwise. The aim is that a guest who already knows you books direct the second time, and that the apps fill the dates you cannot fill yourself.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
