Laboratory and scientific equipment suppliers · Email marketing

The reorder reminder has to arrive before the shelf is empty.

Email is the working channel of institutional buying, because a purchase officer keeps a file and a phone call is not one. GullySales sets up the consumable reorder reminders, the calibration and warranty renewals, and the department mails that arrive while specifications are being written rather than while funds are lapsing.

A post room: a wall rack of pigeonholes with sorted letters and strapped bundles, a loaded mail trolley wheeled up in front of it, and on the bench a franking machine with one envelope under the press arm, franked and cleared

What email marketing means

Email marketing is sending planned messages to a list of past and prospective customers who have agreed to hear from you. It suits offers, updates and staying in touch with someone who is not ready to buy yet. GullySales writes and schedules these emails and tracks who opens, clicks and enquires.

For laboratory and scientific equipment suppliers

Where it usually goes wrong, and what we would do.

  • Consumption is predictable, so the mail can be timed

A lab taking two boxes of tips a month runs out on a date you can work out from your own invoices.

  • A purchase officer needs a document, not a message

The rate, the GST number and the delivery commitment have to arrive in a form that can be forwarded into the file.

  • The budget mail belongs in January

By the time departments panic in March the list is settled, so the reminder about unspent funds has to be sitting there already.

What we do

What we deliver for laboratory and scientific equipment suppliers.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A reorder calendar per consumable account

What each lab buys, in what pack and how often, taken from your own invoices, with the reminder timed a week ahead of the usual date.

Result: The lab hears from you before it hears from a telecaller.

  2. Renewal reminders from your installation records

Warranty end, calibration due date and maintenance renewal month for every instrument you have installed, sent early enough for a store to raise the order.

Result: The renewal is asked for while there is still time to sanction it.

  3. A January mail with a ready quotation attached

A short note to departments holding unspent funds, with a quotation and a written delivery commitment a store officer can act on straight away.

Result: Money that would go back unspent is spent on your instruments.

  4. Department mails written for the person, not the office

Short mails by department offering a demonstration or a sample pack, sent from a named colleague with a working reply address.

Result: The mail reaches whoever writes the clause.

  5. A list corrected every quarter

Purchase officers are transferred and professors retire, so the list is checked against who is in the chair now, with consent recorded.

Result: You stop writing to somebody who left two years ago.

How the result is measured

  • Open rate
  • Click rate
  • Enquiries from email

Recorded as a baseline before work starts, then reported every month against it.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first monthly report.

No open-ended retainer. Each step has a point in time and something you receive.

  1. 01 · Day 1

    Free audit call

45 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. 02 · Within a few working days

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope and fee come with it, in writing.

  3. 03 · Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later month has an honest comparison.

  4. 04 · Month 1

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. 05 · Every month

    Report against the baseline

What moved, what did not, and what changes next, in plain words.

  6. 06 · Month 3 to 6

    Renew on the numbers

The term ends and you decide whether to continue from the results. No twelve-month lock.

How the work runs for laboratory and scientific equipment suppliers

  1. 1

    Read last year's quotations

In the free audit we go through a quarter of quotations and bids: what was quoted, what was won, which ones nobody followed up, and where the specification never matched.

  2. 2

Make the catalogue answer a specification

A page per instrument and model with the numbers a buyer copies, plus specification sheets a purchase officer can download without writing to you.

  3. 3

Put a date on every quotation and bid

A register for quotations, a daily watch on GeM and the portals, and a drafted pre-bid query whenever a clause reads like a competitor's brochure.

  4. 4

Reach the people who write the specification

Department-wise outreach to professors, lab in-charges and quality heads, with demonstrations and sample packs offered in the months when nothing is being bought.

  5. 5

Hold the reorder and the service

Reorder reminders for consumables, calibration and renewal dates tracked from your installation records, and a monthly report against the baseline set at the start.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every monthly report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No lock-in, no guarantees we cannot keep

Three to six months at a time. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Do institutional buyers read email at all?
They work inside it. The file needs a written rate, a GST number and a delivery date, and none of that survives as a phone conversation.
How often should a reorder mail go out?
By the lab's consumption, not by a schedule. A week before the usual reorder date for a monthly buyer, and before practicals begin for a college.
A tender's specification matches a competitor's model exactly. Can anything be done?
Raise a pre-bid query inside the window, with the technical reason the clause should be made generic. That works sometimes. The real answer sits months earlier, when the professor or lab in-charge is drafting the specification, and that is when your instrument has to be on the table.
Do we have to be on GeM?
For government colleges, hospitals and departments, yes, and the OEM authorisation has to be in order before you bid rather than after. Private testing labs and most diagnostic chains still buy on three quotations. Both routes need watching, because they run on different calendars.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
Three to six months at a time. There is no twelve-month lock, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile usually show in weeks, because the enquiries already exist. Ads show in days once follow-up is ready. SEO and content take months. The audit tells you which applies to you.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
For the audit, last month's enquiries in any format and 45 minutes with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM, and time for the monthly review.
What if we are not happy with the work?
Tell us and the plan changes. Every month is reported against the baseline, so a number that is not moving is visible to both sides. Terms run three to six months at a time, and the refund and cancellation policy sets out the rest.
