Import-export trading companies · WhatsApp marketing

Use WhatsApp for quotes, samples and repeat orders without losing the thread.

WhatsApp marketing for a trading company means using the app buyers already use for quotes, photographs and order updates, in an organised way. GullySales sets up the business account, the message templates and the habits for logging conversations.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

For import-export trading companies

Where it usually goes wrong, and what we would do.

  • “A WhatsApp enquiry is a real enquiry”

A buyer in the Gulf or Africa sends a message with a product photo and asks for a price. It arrives on one person's phone, with the price and the terms buried in a long chat. Moving the key details into the buyer record is what makes the enquiry a managed lead.

  • “Personal and business numbers should not be mixed”

When a buyer is saved on the owner's personal number, the conversation leaves with the owner's phone. A business account with a catalogue, a greeting and labels keeps the history with the firm and shows the buyer a company, not a private contact.

  • “Voice notes and photographs are not records”

A buyer sends a photo of a required label and a voice note on packing. The details matter later in a dispute or a reorder. A rule to summarise instructions in writing and file them with the order protects both sides.

  • “Broadcasts can annoy a buyer”

A buyer who gets a blast about products they do not import will mute or block the number. Send updates only to those who asked, and match the message to the products they buy. Check the platform's current rules on business messaging before sending.

What we do

What we deliver for import-export trading companies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Business account set-up

A WhatsApp Business profile with company details, a short greeting, an away message and a product catalogue.

Result: A new buyer sees a company profile when they write.

  2. Quick replies for common questions

Saved answers on minimum quantity, packing, sample terms and how to request a quote.

Result: The first reply to an enquiry is clear and consistent.

  3. Labels for the buyer stage

Labels for new enquiry, quote sent, sample sent, proforma invoice sent and shipped.

Result: You can filter chats by where the deal stands.

  4. Chat-to-record routine

A short routine for moving the key facts of a chat into the buyer record.

Result: Details leave the chat and reach the record.

  5. Opt-in list for product updates

A list of buyers who agreed to hear about new products, grouped by what they buy.

Result: Updates go only to buyers who asked for them.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

Move chat quotes into the record before they scatter.

Quote on chat
Product, grade, packing, price terms and validity in one message, copied to the buyer record straight after it is sent.
Sample photos
Photographs of the sample before it ships, so the buyer sees what was sent and a dispute has a reference.
Voice note summary
A written summary of any voice note that changed a price or a date, saved to the record as text.
Opt-in product update
A short note on a new product or grade, sent only to buyers who asked to receive updates.
Buyer stage label
A label for enquiry, sample, quote or repeat, so the team sees where each chat stands.

Who it is for

This is written for these import-export trading companies.

  • Agri-product exporters trading rice, spices, pulses and similar goods
  • Textile, garment and home furnishing export traders
  • Handicraft and gift item exporters buying from artisan clusters

Not for

It is not the right fit if.

  • Your buyers use email only and have never messaged on chat

  • You plan to send catalogues to every contact in a phone

How it works

How the whatsapp marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

Read the chats you already have

We read how customers write to you, which questions repeat and where a chat goes quiet. The repeated questions decide what gets automated first.

  2. 2

Sort the list and the permission

Contacts who asked to hear from you are separated from numbers that only sit in a phone book. We agree the wording new contacts will see before they say yes.

  3. 3

Choose the app or the API

One phone and a small team can stay on the ordinary app. Several people on one number, templates or a CRM link need the API through a provider, which is its own piece of setup work.

  4. 4

Write the replies and the plan

The greeting, away message, saved replies and handover rule are written in your words and approved by you. The message plan and its templates follow.

  5. 5

    Connect the record and test

Each link carries its source line and each chat lands in the CRM. We test on real phones, including a customer who asks for a person.

  6. 6

    Read the unanswered questions

A question the first reply could not answer becomes a new saved reply or a fixed handover. Stop requests are watched too, with the number's quality rating where the API is used, since both show a message plan that has gone too far.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can the whole team use one WhatsApp number?
The Business app and the platform's own business tools allow more than one person on an account, within limits. Check the platform's current rules and options. The aim is that the history stays with the company.
Is it professional to quote on WhatsApp?
Some overseas buyers prefer it, and the quote should still follow your standard format. Send the formal quote as a document, and use the chat for the conversation around it.
Should we send catalogues to every buyer?
Send each buyer the products they import. A full catalogue sent to everyone adds noise. Keep a set of short product sheets and choose the ones that match.
How do we keep personal and business chats apart?
Use a business number on the business app, with labels, and keep personal messages on a separate phone or profile. When a buyer's quote lives in a personal chat, it leaves with that person. Hand-over becomes a matter of passing the account.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
