Self-storage and storage facilities · Follow up systems

Call the person who said they would think about it, before another facility does.

A follow-up system for a storage facility is a record of everyone who asked, visited or took a quote, with a date and a person for the next contact. GullySales builds it for the call that was never returned, the visitor who did not book and the tenant who is about to leave.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For self-storage and storage facilities

Where it usually goes wrong, and what we would do.

  • “The decision is made within days”

A person who needs space soon visits two or three facilities and books the one that was easy to deal with.

  • “I will think about it is a real answer”

It usually means a question was not answered, such as access, damp or the deposit, and a follow-up that asks it finds the answer.

  • “Follow-up also means the people already inside”

A tenant who is not contacted before renewal or notice may leave without a word.

What we do

What we deliver for self-storage and storage facilities.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A record of every enquiry and visit

A shared sheet or CRM entry for each caller and visitor, with their need, the unit shown, the quote and the next date.

Result: Nobody who asked is forgotten.

  2. A follow-up routine for each situation

Scripts for an unanswered enquiry, a quote sent, a visit with no booking, a request to think about it and a tenant nearing renewal.

Result: Each situation gets the right call.

  3. A named owner and a weekly list

A due-today list for the person responsible, with outcomes written back.

Result: Follow-up happens as a habit and not as a favour.

  4. Reasons for not booking, recorded

A short list of reasons: price, distance, access, trust, timing, chose another, with notes.

Result: A repeating reason is fixed.

  5. A renewal and exit routine

A call before renewal and a conversation when a tenant gives notice, noting why they are leaving.

Result: Some tenants stay, and the reasons for the rest are known.

  6. A report on follow-ups

Enquiries, follow-ups made and the move-ins that followed, against the baseline recorded before work starts.

Result: You see how much follow-up fills units.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

Follow-up routine for this trade

Who follows up, how, and what to say, in each situation a storage facility meets.

A call or message not yet answered
The desk replies the same day, by the channel used, with the address and unit sizes. Record who replied and when. A person who waited a day has probably asked another facility.
Quote sent, no answer
The branch manager calls two or three days later and asks one question: what would help you decide? Record the answer. A silent quote is a lost unit that nobody has counted yet.
Visited but did not book
Call the next day, thank them and ask what they were unsure about, such as size, access or distance. Offer a second visit or a different unit. Record the reason in a fixed field.
I will think about it
Ask when they need the space, agree a call date and put it in the record. Send the unit and terms in writing on WhatsApp. Call on the date and ask the question you were not asked.
After move-in
Call a few days after to ask whether access and the unit are as expected, and record the answer. A problem found early is cheaper than a one-star review.
Renewal due or notice given
Call before the renewal date and ask whether they still need the unit. If they give notice, ask why and write it down. Some stay for a change in access or a corrected bill.

Who it is for

This is written for these self-storage and storage facilities.

  • Household self-storage units near apartment clusters
  • Business storage for online sellers and traders
  • Document and records storage
  • Warehouse-style storage let by the pallet or the bay
  • Student and PG storage near colleges and hostels
  • Furniture and relocation storage tied to packers and movers
  • Operators running several branches across a city
  • Landowners and building owners converting space into units

Not for

It is not the right fit if.

  • No one owns the enquiry list, so a reminder would fire at a desk that nobody watches.
  • Staff do not note what a caller needs and by when, so a follow-up would repeat the first call.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From your recent enquiries, we set the time each arrived against its first reply, using the call log, chats, form entries and portal panel. We also count the follow-ups each one got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Write the templates and first-call questions

The first reply, the quote follow-up and the last attempt are written in your voice and loaded as quick replies. The first-call questions are agreed with your best salesperson.

  4. 4

    Set ownership, tasks and alerts

Named owners, cover for leave and CRM or sheet tasks go live. App alerts, such as IndiaMART's, are switched on for the right phones.

  5. 5

    Track and adjust

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept. How often you are reported to is agreed in writing.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Will too many follow-ups annoy people?
A second contact is expected and welcome, and a fifth is a nuisance. Make each contact useful, such as a new question answered, and stop when the person says no or asks to be left alone.
Who should own it?
One named person per branch. If it belongs to everyone, nobody calls. Review the list with them at the start of each working week and ask what each person said.
Should follow-up be on WhatsApp or the phone?
Use the channel the person used to enquire. A call suits a person who rang, and a message suits one who wrote. Send the unit details in writing on WhatsApp after any call.
What do we do with a no?
Write down the reason, thank them and ask whether you may contact them if their need changes. Record the answer. A no that is recorded can become a yes next season.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
