Commercial refrigeration companies · Customer retention

Keep the cold room you installed on your service list for its whole life.

Customer retention for a commercial refrigeration company is the work of keeping each installed customer on your service contract and coming to you for the next purchase. GullySales reads your invoices and service records to find who is due, who has gone quiet and what each should be offered.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What customer retention means

Customer retention is keeping an existing customer buying again rather than losing them to a competitor after the first purchase, usually cheaper than winning a new customer. GullySales sets a routine of check-ins and renewal reminders aimed at customers before they show signs of leaving.

For commercial refrigeration companies

Where it usually goes wrong, and what we would do.

  • “The service customer is not tracked after the warranty”

Once the warranty ends, the customer starts calling a cheaper technician and you do not know.

  • “Spare parts and repairs are sold one by one”

A contract would give both sides more certainty, but the call-out customer is never offered one.

  • “Nobody calls the customer who stopped calling”

A dairy that used to call twice a year has been silent for two years, and nobody asked why.

What we do

What we deliver for commercial refrigeration companies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A register of installed equipment

Every machine, site, install date, warranty end and AMC status, built from your invoices and delivery challans.

Result: You know who is due and who has lapsed.

  2. A list of lapsed customers

Customers with no invoice or visit in a defined period, sorted by value and equipment age.

Result: You choose who to call first.

  3. A service reminder routine

A call or message before warranty or AMC ends, with a simple renewal offer.

Result: Renewals come from your records, not luck.

  4. A win-back call

A short script for customers who went to others, asking what happened and offering a check.

Result: Some come back, and you learn why the rest left.

  5. An upgrade review for old installations

A visit to check compressors, gas, door seals and controls on older equipment.

Result: Replacement orders come from the customers you already have.

  6. Retention report

Repeat orders, AMC renewals and lapsed customers recovered, reported against the baseline.

Result: You see whether the base is growing.

How the result is measured

  • Retention rate
  • Repeat purchase rate
  • Customers won back

Recorded as a baseline before work starts, so every later report has an honest comparison.

Work it out from your records

Use your invoice book, delivery challans and service sheets to find out how well you keep customers. These steps need no software.

List customers by last invoice
Sort your sales and service invoices by customer and note the date of the last one. Customers with no invoice for a long stretch for their equipment age are your first calls.
Match installations to AMC
From delivery challans, list every machine installed and tick the ones under contract. The ones without a tick and past warranty are your renewal list.
Count repeat customers
Count how many customers bought a second room, a chiller or a major repair after the first. Divide by total customers for a simple repeat measure, in your own sheet.
Find the lapsed
Choose a cut-off, such as no work for a year and a half, and list customers beyond it. Before calling, check the last service sheet for any complaint.
Check why they left
Call five lapsed customers and ask in one question what changed. Write the reasons down: price, delay, spares, another vendor, or a closed shop.
Set the next date
For each customer, write the next date you will call or visit and the reason. A customer with no next date will drift away.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is reply time, a follow-up sequence, the page buyers land on or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the customer retention work runs

  1. 1

    Assess current retention

A first read of current retention rate, existing tactics and where they are or are not coordinated.

  2. 2

    Build the strategy

A written plan developed covering priority segments, touchpoints and a measurable target.

  3. 3

    Align existing tactics

Current retention activities mapped against the strategy and adjusted to work together rather than independently.

  4. 4

    Track toward the target

Retention tracked against the goal, with the strategy adjusted as results come in.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

When do we count a customer as lapsed?
Choose a period that fits the equipment. A cold room serviced twice a year is lapsed after a missed cycle, a milk cooler after the season. Write the rule once and apply it to the whole list, so you can compare year to year.
Is a win-back call worth the time?
Yes, if you ask honestly why they left and do not argue. Some left over a late visit that you can fix, and some over price, which you may not match. The answers show what to change.
Who should make the retention calls?
The person the customer knows, usually the service head or the salesperson who sold the room. Give him the history before he calls, and record the answer in the register.
What do we do with customers who have moved to another service provider?
Do not chase them with discounts. Keep them on the list, send a polite note when a new product or season arrives and call when their equipment ages. Some will come back for a major job.
How do we get more customers on AMC?
Offer it at the moment the customer feels the cost of a breakdown. After each emergency visit, send a short note of what failed and a written AMC that covers it. Fix the contract terms first: visits, response, spares and exclusions.
Should we list on IndiaMART for cold rooms?
It can bring buyers, but many are comparing ten sellers for the cheapest price. List with real photos and sizes, reply the same day, and record which enquiries became orders before you decide to renew the paid plan.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
