Commercial refrigeration companies · Sales process

Turn a site visit and a quotation into an order, one step at a time.

A sales process for a commercial refrigeration company is the set of steps from the first enquiry to the handover of an installed room, with a named person and a record at each step. GullySales writes the steps in your trade's words and trains the team to follow them.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What sales process means

A sales process is the fixed sequence of steps, such as enquiry, site visit, quote and order, that every deal is expected to pass through in the same order. GullySales writes this sequence down for your business and checks that every salesperson actually follows it.

For commercial refrigeration companies

Where it usually goes wrong, and what we would do.

  • “The quote goes out before the need is understood”

A price for a ten by ten room is wrong if the buyer actually stores twice the stock, and he buys elsewhere.

  • “The visit is one engineer's opinion”

Without a checklist, each visit covers different things, and the quotation misses power, access or drainage.

  • “The handover ends the relationship”

After the commissioning the invoice is sent and nobody explains how to use the room, so the first fault is blamed on you.

What we do

What we deliver for commercial refrigeration companies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A written sale from enquiry to handover

Each step named, who does it and what must be recorded before moving on.

Result: The team sells the same way each time.

  2. A site visit checklist

Size, power, access, floor, drainage, load, temperature range and the buyer's time frame.

Result: The quotation starts from facts.

  3. Quotation and follow-up rules

The format, who approves it and the dates for calling the buyer back.

Result: No quotation is left unanswered.

  4. Objection answers

Short, honest replies on price, brand, warranty and a competitor's lower rate.

Result: The team handles comparison calmly.

  5. Handover and first-service routine

A walk-through with the customer, a written guide and a scheduled first check.

Result: The relationship continues after commissioning.

  6. Win and loss notes

A reason recorded for every order won and every one lost.

Result: You learn why buyers choose or leave.

How the result is measured

  • Deals following the process
  • Time spent at each step
  • Drop-off rate by step

Recorded as a baseline before work starts, so every later report has an honest comparison.

Steps of a sale

These are the steps a cold room or chiller order goes through, written the way the trade says them.

Enquiry
Take the name, site, equipment and need, and note the source. Reply the same day with the questions you need answered, not with a price.
Site visit and survey
Measure the space, check power and access, and ask what will be stored, how much and at what temperature. Record the answers and photos.
Quotation
Send a drawing or sketch, the specification and a price that shows what is included. Record the version, the amount and who will decide.
Follow-up and comparison
Call after the buyer has had time to read it. Ask what he is comparing and offer to explain the differences; record what he says.
Order and advance
Confirm the specification, the payment terms and the date in writing. Record who signed and the advance received.
Installation and handover
Commission the unit, show the customer the controls, explain what to avoid and record the first service date.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is reply time, a follow-up sequence, the page buyers land on or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the sales process work runs

  1. 1

    Study current deal flow

We trace how deals actually move today, comparing across reps and outcomes.

  2. 2

    Define the stages

Clear stages and criteria are designed to match how deals genuinely progress and close.

  3. 3

    Configure the CRM

The process is built into your CRM so it is enforced structurally, not just documented.

  4. 4

    Train the team

Reps are trained on the new process and why each stage exists.

  5. 5

    Review adoption

We check after rollout whether the process is being followed and adjust where it is not.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

Who should do which step?
The salesperson or owner handles enquiry, quotation and follow-up, while an engineer does the survey and handover. Write down who owns each step so a quotation does not wait on someone else's diary.
When should we send the quotation?
After the survey, not before. A price given on a phone call is a guess, and an incorrect one costs you the order or the margin. Give a range if you must, and say clearly that the firm figure follows the visit.
What do we do with a buyer who only wants the lowest price?
Ask what he is comparing and offer to compare line by line. If the other firm omits panel thickness or service, show it. Some buyers still choose the cheapest, and you can decline to cut the specification.
Is there a step we should add that others skip?
A written handover with a first-service date. It costs a visit, and it turns the order into the start of an AMC rather than the end of a relationship. Many firms leave it out because the room is working and the invoice is paid.
How do we get more customers on AMC?
Offer it at the moment the customer feels the cost of a breakdown. After each emergency visit, send a short note of what failed and a written AMC that covers it. Fix the contract terms first: visits, response, spares and exclusions.
Should we list on IndiaMART for cold rooms?
It can bring buyers, but many are comparing ten sellers for the cheapest price. List with real photos and sizes, reply the same day, and record which enquiries became orders before you decide to renew the paid plan.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
