Printing businesses · CRM
Keep the last job card and the artwork where anyone can find them.
A printer's CRM is a job history, not a sales pipeline. What matters is the last order for each customer: the size, the board, the GSM, the finish, the quantity, the rate and the artwork file that produced it. GullySales sets up that record so a reorder can be quoted and started without anyone hunting through an old hard disk.
Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What CRM means
A CRM is the record where every enquiry, call and quote is kept against a customer, replacing separate notebooks, spreadsheets and memory. GullySales sets up or cleans an existing CRM and reports from it by enquiry outcome rather than by activity logged.

For printing businesses
Where it usually goes wrong, and what we would do.
“The last job card is the record, not a deal stage”
Nobody in a press cares about qualified or negotiation. What pays is knowing that this customer takes 300 GSM art card, matt lamination, 5,000 pieces, at a rate agreed last year, and which machine it ran on.
“The artwork file belongs in the record, with a version you trust”
A customer rings for a reorder, somebody digs out a folder of files ending in final and final2, and you print last year's phone number on ten thousand cards. The approved file has to be marked as the approved file.
“Every corporate account has two people in it”
The administrator who raises the reorder and the purchase officer who approves the rate. Record both, because the administrator changes jobs and takes your number with her, and the account then goes to whoever the new one already knows.
What we do
What we deliver for printing businesses.
Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.
A job card record built on your real specifications
Size, stock, GSM, colours, finish, quantity, rate, machine and delivery date held against each customer for every job you run.
Result: A reorder is quoted from the record instead of from memory.
Approved artwork stored against the job
The final approved file linked to the job card, with a naming rule and one place it lives, so nobody reprints an old version.
Result: The file you send to the press is the one the customer signed.
Two named contacts held for each account
The person who raises the order and the person who approves the rate, with their numbers, so a staff change does not cost you the account.
Result: The account survives the administrator leaving.
A likely reorder date on every repeat job
Quantity supplied and how fast the customer gets through it, recorded at delivery, giving a date when somebody should call.
Result: You ring before the stationery cupboard is empty.
Rate history kept so nothing is requoted blind
What the customer paid last time, for what quantity, with any slab agreed, visible to whoever picks up the phone.
Result: Nobody quotes below the last rate by accident.
The handful of views the owner reads
Reorders due, quotations open, jobs stuck waiting on artwork or approval, and accounts that have not ordered in a long while.
Result: You see the shop's position without walking to three desks.
How the result is measured
- Enquiries logged in the CRM
- Data completeness
- Reports generated from CRM data
Recorded as a baseline before work starts, so every later report has an honest comparison.
What to record, and when
What a printing business should record about every enquiry and job, and whether software is needed yet.
- Proof sent and who approved it
- Record the date the proof went and the date, person and channel of approval, whether WhatsApp or email. When a customer disputes a typing error, the approval is your answer.
- Quotation date and how long the rate holds
- Paper and board rates move, so note when the quote was made and its validity. A reorder quoted at last year's rate costs you the difference.
- Delivery address, GST number and who signs
- Keep the delivery site, the buyer's GST number and the person who signs for the carton. A second delivery after a missed signature eats the margin on a small job.
- Reason an enquiry did not order
- Mark price, quantity, delivery date or an unconvincing sample. A buyer who asks several shops for quotes is one to ring again before the next run.
- When the job usually comes round
- Note the season each customer reorders: diaries before the year end, calendars, exam stationery, wedding season. A call before the run is worth more than a quote after it.
- Do you need software yet?
- Job cards and a sheet do well while one person quotes and most work is repeat. Software helps when two or three people quote the same customers, or when buyers expect old quotes and artwork on request.

Not for
It is not the right fit if.
- You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
- You need enquiries by next week and have nobody to answer them.
- You want posts and reach reported, not enquiries and orders.
How it works
From your first message to the first report.
No open-ended retainer. Every step gives you something in writing.
First
Your brief
You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.
After the brief
A conversation and a written scope
We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.
Before work starts
Baseline recorded
Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.
After the baseline
The first fix goes live
The fix we agreed to start with is put in place and measured against the baseline, whether that is reply time, a follow-up sequence, the page buyers land on or the handover between marketing and sales.
As agreed
Report against the baseline
What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.
At renewal
Renew on the numbers
The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.
How the crm work runs
- 1
Map the sales process
We record how a deal actually moves from enquiry to close in your business today.
- 2
Configure stages and fields
The CRM's pipeline and fields are built to match that process exactly, not a generic template.
- 3
Set up automations
Reminders, assignment rules and follow-up triggers are configured so routine steps happen without manual effort.
- 4
Test with real deals
We run the configuration against actual current deals to catch gaps before the whole team relies on it.
Why us
Why owners pick GullySales over an agency.
Marketing and sales, as one job
Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.
The person on the first call does the work
No account managers in between. You are never handed to someone you have not met.
A baseline before anything starts
Your numbers are written down on day one, so every later report compares against something honest.
The fee in writing, split three ways
Our time, your media spend and production on separate lines. You always see what goes to us.
No guarantees we cannot keep
The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.
