Medical supplies distributors · Email marketing

Write to purchase managers who agreed to hear from you, and write about what they buy.

Email marketing for a medical supplies distributor is sending stock updates, rate notes and new-product introductions to hospital purchase teams, labs and manufacturers' managers who have agreed to receive them, from a proper business address. GullySales sets up the list source, the segments and the reply path.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

What email marketing means

Email marketing is sending planned messages to a list of past and prospective customers who have agreed to hear from you. It suits offers, updates and staying in touch with someone who is not ready to buy yet. GullySales writes and schedules these emails and tracks who opens, clicks and enquires.

For medical supplies distributors

Where it usually goes wrong, and what we would do.

  • “One price list mailed to everyone”

A lab, a surgical store and a hospital group receive the same attachment. Most of it does not concern them, and the next mail from you is deleted unread.

  • “Mail from a free email address goes to spam”

A hospital's mail system treats messages from a personal address with an attachment as suspect. The purchase manager never sees the quote you sent.

  • “Hospitals are bought through emails and approvals”

Hospital requirements and tender queries move by email, with a reference number and a deadline. A distributor that answers in a casual WhatsApp note looks less reliable.

What we do

What we deliver for medical supplies distributors.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A sender identity on your own domain

Email addresses on your trade name, a plain signature with licence and GST details, and the technical set-up that stops messages being marked as forged.

Result: A hospital's mail system accepts you as a real sender.

  2. A list built from people who said yes

Contacts from your own accounts, from quote requests and from meetings, each with the date and source recorded, and none bought.

Result: You can say why each person is on the list.

  3. Segments by buyer and by product line

Hospitals, labs, chemists, clinics and manufacturers' managers kept apart, with a further split by consumables, equipment and diagnostics.

Result: Each reader receives a message about what they buy.

  4. Plain mail formats for the trade

A stock arrival note, a rate revision, a new brand introduction, a reply to a requirement and a quote cover note, each short and ending in one action.

Result: Reps stop writing every mail from a blank page.

  5. A reply path that reaches a person

Replies go to a monitored shared address with a named owner, and a quote request is logged in the CRM the same day.

Result: A buyer's reply never lands in a dead inbox.

  6. Replies and orders traced to each mail

Each campaign's replies, quotes and orders recorded against the send, set against the baseline.

Result: You keep the mails that bring orders and drop the rest.

How the result is measured

  • Open rate
  • Click rate
  • Enquiries from email

Recorded as a baseline before work starts, so every later report has an honest comparison.

What must be in place first

What a medical supplies distributor needs in place before emailing hospital stores, labs and manufacturers.

Where each address came from
Record the source and date for every contact: an account, a quote request, a meeting or a reply. Keep to people who asked for or expect your mail, and name data protection law to your adviser.
A sender address on your domain
Use addresses on your trade name, not a free mail address. Ask whoever hosts your domain to set it up so mail systems accept it, and test with a hospital contact.
An unsubscribe line in every mail
Tell the reader how to stop receiving updates and act on it at once. A purchase manager who cannot opt out reports the mail as spam, and your domain pays.
Segments by buyer and product line
Keep hospitals, labs, chemists and manufacturers' managers on separate lists, then split by consumables, equipment and diagnostics. Write each list its own subject line.
A reply path to a person
Send replies to a shared inbox with a named owner who logs every quote request in the CRM the same day, so no buyer's answer waits unseen.
Patient and personal data stays out
Mail never carries a patient's name, a prescription or a diagnosis. Share items, packs, rates and delivery details only, and keep attachments free of personal data.

Who it is for

This is written for these medical supplies distributors.

  • General consumables and disposables distributors
  • Surgical and OT supply distributors
  • Hospital equipment dealers selling beds, monitors, suction and oxygen systems
  • Home healthcare suppliers selling or renting wheelchairs, beds and concentrators
  • Diagnostic kit and reagent distributors serving labs
  • Orthopaedic support, brace and rehabilitation product suppliers
  • Single-brand authorised distributors covering a district
  • Sub-stockists supplying chemists and surgical stores

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for medical supplies distributors

  1. 1

Read the billing and enquiry history

In the free audit we look at your invoice history, your outstanding, your open quotes and how requirement lists reach the sales team today.

  2. 2

Fix the quote and enquiry path

Every requirement list logged once, owned by one person, with a date to call back and a note when it is lost.

  3. 3

Put the catalogue and the proof online

Item pages, brand authorisation pages and a distributor profile that a purchase team and a manufacturer can both read in one sitting.

  4. 4

    Work the institutions nobody calls

A named list of hospitals, nursing homes and labs in your territory, approached with a stock and rate offer and tracked until they order or say no.

  5. 5

Report by account and by item

Orders, quotes and recovered lines set against the baseline recorded before anything changed, with the reporting routine agreed in writing after the audit.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can we buy an email list of hospital purchase managers?
Do not. Bought lists are old and the people never agreed to hear from you, which sits badly with India's data protection law. They also harm your domain's standing with mail systems. Build a smaller list from accounts, quote requests and meetings.
Is a newsletter better than one-to-one mail?
For a distributor, one-to-one mail to a purchase manager about a specific requirement does more work. A short update on new stock and rate changes to a consented list is useful as well. A long newsletter with generic health news is not.
Why do our quotes land in spam?
Usual causes are a free email address, a large attachment, no domain set-up and mail sent to many addresses at once. Send from your domain, set it up properly, keep attachments small and send quotes one to one.
Should we email tenders and rate contract offers to hospitals?
Reply by email to formal enquiries and tenders, with the reference number and the documents asked. Do not mail unsolicited rate offers to a hospital's procurement address in bulk. Introduce yourself to the purchase manager first, then send the rate sheet.
Is IndiaMART worth keeping as a medical supplies distributor?
Keep it if your records show hospital and clinic orders from it. Screen every enquiry for buyer type, items and quantity, and judge the listing on orders won. If most calls are individuals and rival traders, cut the plan and put the money into your own product pages.
Our principal controls the product claims. What can we put on our own site?
Use what the manufacturer has approved for the product, its label wording and the images it allows, and nothing stronger. Ask the regional manager for written permission before you reuse brand material. Your own value is stock, delivery, installation and service, so write about those.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and the audit tells you which applies to you. Nothing here is guaranteed.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
For the audit, last month's enquiries in any format and 90 minutes with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM, and time for the review meetings.
