Who should do which step: the rep, the counter or the owner?
Reps own the buyer relationship and the quote. Stores own stock and dispatch. Accounts own credit and collection. The owner steps in for rate contracts and large hospitals. Write each step against one name, and the handovers get clearer.
When in the process should we send the price?
After you know who approves, what the buyer buys now and the quantity. A price sent earlier gets compared and shared. For equipment, show it working first. For consumables, tell the buyer your stock position before the rate.
How do we handle a buyer who asks only for the lowest rate?
Give the rate you can honestly supply at and say what comes with it: stock, batch, delivery and replacement of damaged goods. Some buyers will still go elsewhere. Record the reason and the winner so you learn from the loss.
What should we write down at each step?
