AgriTech startups · Follow up systems

Stop anyone who showed interest in the field going quiet by accident.

A follow-up system for an AgriTech startup is the set of agreed next steps, owners and reminders that carry a farmer, a dealer or a partner from first interest to use or purchase. GullySales writes the steps for each stage and for the crop calendar.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For AgriTech startups

Where it usually goes wrong, and what we would do.

  • “The crop calendar sets the follow-up window”

A farmer who is interested in November may only need the product at sowing in the next season. A follow-up that ignores crop timing either pushes too early or arrives too late.

  • “Pilots stall in the gap after the demo”

The partner enjoys the demo and says to send a proposal. If the proposal waits a few days with no owner, the interest cools and another vendor fills the space.

  • “Installed users are never checked on”

A farmer who downloads the app and does not open it needs a call or a visit from the field agent. With no rule for who checks and when, the user is lost silently.

  • “Partners need follow-up shaped like their process”

A bank or company moves through committees and approvals. Follow-up there means supplying a short note the champion can forward, not repeating the pitch.

What we do

What we deliver for AgriTech startups.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Stage-by-stage follow-up rules

For each stage, who contacts the lead, with what message and what happens if there is no reply.

Result: No stage ends without a named next step.

  2. Crop-calendar reminders

A calendar linking each farmer group to the crop stage when the product matters, with the reminder set to that point.

Result: Contact reaches the farmer when the product is useful.

  3. Post-demo proposal note

A short template for the note after a partner demo, with the pilot measure and decision steps.

Result: The champion has something to forward within the partner's process.

  4. Inactive-user checklist

A routine for field agents to contact users who installed but did not use the product, with questions to ask.

Result: Silent users get a human check, not another notification.

  5. WhatsApp message set

Approved wording for follow-up messages in the local language, for farmers and partners.

Result: Every agent sends the same clear message.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How often should we follow up?
Set it by stage and crop calendar, not by a fixed count. A partner in committee needs different contact from a farmer waiting for the next sowing. We write the rule for each.
What if a partner stops replying?
Send one short note naming what you understood the next step to be, and ask who else should see it. Record the outcome and the reason in the CRM, whichever way it goes.
Should follow-up be automated?
Reminders to the team can be. Messages to farmers and partners should be written by a person or approved by one, in the right language, so they read as a real conversation.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
