OTT content studios · Follow up systems

Follow up on every pitch so a quiet inbox never ends a good project.

A follow-up system for an OTT content studio is the set of reminders, notes and rules that keep a pitch moving after it is sent. GullySales works on what to send at each point, who sends it and how a reply or a silence is recorded.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For OTT content studios

Where it usually goes wrong, and what we would do.

  • “A platform's silence has several meanings”

Silence may mean the project is under review, the executive has moved, the slate is full or the answer is no. A studio that cannot tell these apart either chases too hard or stops. A second message that adds something new helps separate them.

  • “Each follow-up needs a reason to exist”

A note asking only whether the pitch was seen reads as pressure. A note that sends a sample scene, a new cast attachment or a mention of a relevant release gives the reader something to act on. The system lists such reasons for each project.

  • “A script request starts a clock the studio cannot see”

When a platform asks for a script, the studio hears nothing until a decision. Without an internal note of when the script was sent and what was promised, the follow-up is guesswork. A date and an owner on each request remove it.

  • “Greenlit work needs follow-up too”

After a commission, the studio still chases approvals, payment milestones and delivery acceptance. A system built only for pitches leaves these to memory. The same discipline of an owner and a next step applies.

What we do

What we deliver for OTT content studios.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Follow-up rules by stage

What is sent after a pitch, a script request, a meeting and a greenlight, and by whom.

    Result: A one-page rulebook.

  2. Message templates with a reason attached

Short notes that each carry something new for the reader.

Result: Notes you can edit and send.

  3. Reminder set-up

Reminders in your calendar or CRM tied to each open pitch.

Result: Every open pitch showing a next date.

  4. Reply handling guide

What to do on a yes, a not now, a no and silence.

Result: A decision written for each kind of reply.

  5. Closed-pitch review

A note on why a pitch ended and when the project could be raised again.

Result: A list of projects to revisit.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How many times should we follow up?
There is no fixed count. Each follow-up should carry something new, and the system records when a contact has gone quiet so you decide when to stop. Platform contacts differ in how they like to be reached.
Can you send the follow-ups for us?
We can draft them and set the reminders. Messages to platform executives go out under your name after you approve them, since the relationship belongs to the studio.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
