Document scanning and digitisation services · WhatsApp marketing

Use the app buyers already open, for quotations, visits and updates.

WhatsApp marketing for a scanning firm means using WhatsApp for first enquiries, photographs of the documents, site-visit arrangements and project updates, with care about what is sent. GullySales sets up the business account, the replies and the rules about confidential material.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

For document scanning and digitisation services

Where it usually goes wrong, and what we would do.

  • “The first message carries a photograph of the pile”

A buyer sends a picture of the shelves and asks for a rate. A saved reply that thanks them, asks the type of documents, the volume and the city, and offers a site visit turns a one-line request into a proper enquiry.

  • “Never send or accept confidential documents over chat”

Patient files, legal papers and personal records should not travel through a messaging app. State this in your replies and offer a secure route for anything that must be shared, agreed with your own adviser.

  • “Project updates need a controlled group”

During a project, the client wants to know progress. A small, named group or a single contact keeps updates clear, while a large chat exposes details to people who do not need them. Agree at the start who is in it and who may add anyone.

  • “Business accounts show the firm is real”

A profile with the firm's name, address, description and website reassures a buyer who got the number from a directory. A personal number with no profile looks less dependable. Fill in every field, including the service area, and keep the description factual and plain.

What we do

What we deliver for document scanning and digitisation services.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A WhatsApp Business profile

A business profile with name, address, services, service area and a link to the website.

Result: Buyers see a real firm.

  2. Quick replies for enquiries

Saved answers asking for document type, volume and city, and explaining the site visit.

Result: First replies are consistent and useful.

  3. A confidentiality notice

A short message explaining that confidential documents are not sent by chat and how they should be shared.

Result: Buyers know the firm's rule from the start.

  4. A project update format

A simple wording for progress messages, sent to a named contact.

Result: Clients stay informed without exposing details.

  5. A quotation follow-up message

A courteous reminder after a quotation has been sent, offering to answer questions.

    Result: Quotations are not forgotten.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the whatsapp marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Understand current WhatsApp use

We review how customers currently message you and how consistently, if at all, it is answered.

  2. 2

    Audit common questions

We identify the questions that come up repeatedly, which decide what should be automated first.

  3. 3

    Set up automation and templates

An automated first response and quick reply templates are built for the most common needs.

  4. 4

    Connect to the CRM

Conversations are linked to customer records so context carries over between team members.

  5. 5

    Measure and optimise

We track response time and conversion, refining automated responses based on what customers actually ask.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can we send quotations on WhatsApp?
You can send a quotation document, but a formal copy by email is also wise. Avoid including confidential client information in the message, and keep a record of what was sent.
Should we use broadcasts?
Only to buyers who have agreed to receive updates, and within the platform's current rules. Unwanted bulk messages damage a firm's reputation and may get the number blocked.
Who should hold the firm's WhatsApp number?
The firm, not one employee. Use a business account on a company number that more than one person can answer, so enquiries are not lost when someone leaves.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
