Gated community developers · Follow up systems

Keep in touch with the family that visited in March until it decides in September.

A follow-up system for a gated community developer is the set of messages, calls and invitations that keep an undecided family close through a long decision. GullySales works on what each message says, who sends it and what the record shows, so contact carries news and not pressure.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For gated community developers

Where it usually goes wrong, and what we would do.

  • “The silent months are where the sale is lost”

A family that visited and went quiet has not said no. It is comparing two other communities and waiting for a reason to return. If your next contact arrives with nothing new, it reads as pressure.

  • “Each message needs one piece of real news”

A new photograph of the clubhouse, a changed floor plan, a new school nearby or an open weekend gives a reason to write. A message that says only that the offer ends soon trains the family to ignore the project.

  • “The decision-maker may not be the person on the phone”

The executive follows up with the one who filled the form while the spouse or parents decide. A system should invite the whole family to the next visit and not talk past them.

  • “A family that has booked still needs follow-up”

After the booking there are months before handover, and the buyer wonders about the build, the loan and the move. Silence at that stage turns a happy buyer into a worried one and costs a referral.

What we do

What we deliver for gated community developers.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A sequence for each stage

Messages for after the first visit, after the second visit and after a hold, each with a different reason to write.

Result: Every stage has a prepared next contact.

  2. A bank of news items

Dated photographs, amenity updates and nearby changes collected by the project team and fed to the sales desk.

Result: Each message carries something true and new.

  3. A family visit invitation

A message that invites the whole family, elders included, to a quiet slot with a walk of the built phase.

Result: The people who decide are the people who visit.

  4. A post-booking updates routine

Progress photographs and loan or paperwork reminders sent to buyers between booking and handover.

Result: Booked buyers know where the build stands.

  5. A rule for stopping

A clear point at which a family that has said no, or not replied, is moved to occasional news and no longer called.

Result: Nobody is chased past the point of courtesy.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

How often should we message a buyer who is still deciding?
There is no single right gap. Contact should follow real news and the buyer's own replies, and your record should show what each family last asked about so the message fits.
Should follow-up go on WhatsApp or by call?
Use the channel the family used and agreed to. A message with a photograph suits WhatsApp, and a call suits a pricing question. Check the platform's current rules on business messaging and record consent.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
