Furniture stores and retailers · Follow up systems

Reach the customer who photographed your price tag and walked out.

Follow-up for a furniture store is the chase between the showroom visit and the order, which for a sofa or a wardrobe can run for weeks. A customer who leaves without buying is on somebody else's floor within the hour. GullySales writes what gets sent, when, and when to stop.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For furniture stores and retailers

Where it usually goes wrong, and what we would do.

  • “The customer who took a photograph of the price tag”

She is comparing your three-seater against two other shops on the same road, from her phone, that afternoon. A message the same evening with the piece she stood in front of, the fabric options and the delivery window puts you back in the comparison she is already running.

  • “A quote that goes quiet is usually a number, not a design”

A wardrobe quote sent on Tuesday and unanswered by Friday has normally been shown to a husband or a father who said it was too much. Ask what the budget was meant to be and offer the same design in a cheaper finish, rather than repeating the quote.

  • “Follow-up dated to the possession letter, not the enquiry”

A customer furnishing a flat she takes handover of in December is not buying in August. Record the possession date and set the next contact to it, or a serious buyer is written off as cold five months too early.

What we do

What we deliver for furniture stores and retailers.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A same-day message for every showroom walk-in

A short message with the piece the customer looked at, the finish options and the delivery window, sent the evening of the visit from the showroom number.

Result: You are still in the comparison the customer is running that night.

  2. A chase for the quote that went silent

A written sequence for an unanswered wardrobe or kitchen quote that opens on budget rather than repeating the same price.

Result: You find out whether it was the number, and get a second chance at it.

  3. Next contact set from the possession or shifting date

A date field captured at the first enquiry and used to schedule the follow-up, so a customer moving in months from now is contacted when it matters.

Result: Early enquiries convert instead of going cold on the shelf.

  4. Updates across the measurement to delivery gap

Fixed points at which the customer hears from you between the site measurement and the delivery truck, including any slip in the date.

Result: A customer who has paid an advance stops wondering whether you forgot.

  5. A marketplace enquiry routed to a person

IndiaMART and JustDial enquiries pulled into the same follow-up list as walk-ins, with a named person answering them rather than a shared inbox.

Result: A dealer or bulk enquiry no longer waits a day for a reply.

  6. A stop rule and a reason code

The point at which a customer is closed, with the reason recorded: price, delivery date, bought elsewhere, or postponed.

Result: You can see whether you lose more orders on price or on the delivery date.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

Follow-up routine for this trade

Here is what the store does next for each kind of walk-away.

Walk-in left without buying
Message the same evening with the product photograph, the dimensions and the price they were shown. Write the item code on the customer card.
Customer measuring at home
Ask for the room dimensions and offer to check the piece against them. Note the date she said she would measure.
Quote sent, no reply
Send the quote again with delivery and assembly terms in plain words. Ask what she is comparing it with and record the answer.
Waiting for the new flat or possession
Write the shifting date on the record and send a message about a month before it with the delivery slots available. Ask whether the lift access needs arranging.
Order placed, delivery pending
Message after the factory or warehouse confirms the date, and again when the delivery team is assigned. Record any change she asks for.
Marketplace or website enquiry
Reply with a call from a named person, and ask what room the piece is for. Note the platform the enquiry came from.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the follow up systems work runs

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

How soon after a showroom visit should we message?
The same evening, while the customer still remembers which sofa was yours. Send the specific piece she looked at, not a general thank-you, because by tomorrow she has seen four more in two other shops.
Our sales staff say following up annoys customers. Is that true?
A general nudge does. A message that answers the question she was left with does not. The difference is whether your staff wrote down what she was undecided about, which is why the follow-up needs a record behind it.
A customer says she will check other showrooms first. What do we say?
Say that is sensible, and offer to hold the price and the item for a stated number of days. Ask what she will compare, such as the wood, the mattress firmness or the warranty, and note it. Then ring on the day she mentioned, with an answer to that point.
Who owns the walk-in follow-up when sales staff work in shifts?
The shop owner should hold the customer register, and each salesperson writes the contact and the next date on the same sheet before leaving. Whoever opens the next day works the list. A name against each entry stops two people from calling the same customer.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
