Optical businesses · Follow up systems

Bring back the customer who left with a prescription and no frame.

A follow-up system for an optical shop chases the customer who took their prescription away, the contact lens wearer whose supply is running out, and the camp contact who never visited. GullySales sets the messages, the timing and the rule for when to stop.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For optical businesses

Where it usually goes wrong, and what we would do.

  • “The prescription in their pocket is a live enquiry”

A customer who tested with you and did not buy has not decided against you. They are comparing a price online, and a call in the next few days is the whole conversation.

  • “A lens wearer runs out on a date you can work out”

Monthly lenses in a three-month box finish about three months later. That is a reminder with a date attached, and almost no shop sends it.

  • “A camp hands you a list that is worthless by Friday”

Two hundred screenings at a school or an office produce nothing unless somebody calls while the teacher's note is still in the child's bag.

What we do

What we deliver for optical businesses.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A call list of tests that ended without a purchase

Everyone who left with a prescription and no order, listed daily with the power, what they looked at and what they said about price.

Result: The shop knows who to call tomorrow morning.

  2. Written answers for the customer comparing prices online

Replies that meet the online price honestly, offering the fitting, the adjustments and the warranty instead of a reflex discount.

Result: Staff hold the conversation without giving the margin away.

  3. Reorder reminders timed to the lens supply running out

A reminder calculated from the box size and purchase date, with the brand and power already written into the message.

Result: The lens customer reorders from you rather than from an app.

  4. A camp follow-up plan agreed before the camp happens

Who calls the screened list, in what order and with what offer, planned while the camp is being arranged rather than afterwards.

Result: The day's contacts turn into appointments instead of a stack of forms.

  5. A recall for spectacles nobody came back for

A reminder for finished work sitting in the tray, and for a fitting appointment that was never kept.

Result: Completed jobs leave the shop and get paid for.

  6. A stop rule for each kind of follow-up

Two attempts on a prescription that walked, three on a lens reorder, then the record is closed with a reason.

Result: Nobody is called until they are annoyed.

  7. Completion and conversion read against the baseline

How many of each list were actually worked and what they produced, measured against the baseline recorded before work started.

Result: You can see whether the calls are being made at all.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

Follow-up routine for optical shops

Each test, prescription and contact lens order has a day to call and a line to say.

Eye test done, no frame bought
The optometrist or counter staff rings the next morning, asks if the prescription is still needed and offers frames they liked. Record the power and the price comment.
Spectacles ready for collection
Send a message with the shop hours and the customer's name on the order. Ring if the order is not collected and offer fitting at their convenience.
Contact lens box running out
Work out the finish date from the box size and the wearing schedule, then message a few days before. Record the brand, power and quantity so the reorder takes one reply.
School or corporate camp list
Ring the school or HR contact first to confirm the parents may be reached, then send the report with the next step. Note which children were advised glasses.
Customer says the online price is lower
Reply with the lens type, coating, fitting and warranty included, not a reflex discount. Ask if they would like the frame tried on before they decide.
Child or senior prescription review
Set the review date on the prescription card and ring when it falls due. Record what the optometrist advised so the next test builds on it.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the follow up systems work runs

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Is it pushy to call someone who took their prescription elsewhere?
Not if the call is about their eyes rather than your sale. Ask whether the new glasses are comfortable, and remind them adjustments here are free. Plenty of customers who bought online come back for the fitting, and then for the next pair.
Who should make these calls?
Somebody at the shop who knows the frames, not the optometrist between patients. Give the calls a fixed slot in a quiet part of the day with the list printed. Left to spare moments, they never happen.
Should the optometrist or the counter staff make these calls?
Counter staff can make most of them, using a short written line. The optometrist should speak when the question is about the prescription, a child's eyes or comfort with new lenses. Record each call against the customer so two people do not ring about the same thing.
A customer bought online after taking our prescription. Do we chase?
No. Thank them, note that they bought elsewhere and offer to check the fit or adjust the frame if they bring it in. Keep the record for their next test; a polite message now is worth more than pressing for a sale you lost.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
