Staffing is bought through procurement more than through advertising. Most agency brochures list every sector and prove none of this.

How staffing agencies are chosen.

A plant or warehouse HR head rarely starts from a search. She asks the facility manager, an HR head at the plant next door, or looks at the vendor list procurement already holds, then compares two or three agencies on the service charge, the compliance papers and how well the last trial requisition went.

Larger buyers run it through procurement: a vendor registration form, a rate card or an RFQ, a labour compliance check, and for government sites a tender on GeM or a state e-procurement portal. The lowest service charge wins plenty of first rounds. The renewal goes to whoever kept attendance up and never let a PF challan slip.

Workers choose the agency too. A machine operator or a housekeeping attendant stays with the one whose salary arrived on the promised date and whose PF shows in the UAN passbook, and tells the next person from his village. That word of mouth decides how fast you can fill the next site.

Should a staffing agency advertise on IndiaMART and JustDial?
Only with a screening script in place. These marketplaces bring plenty of manpower enquiries, but many are single-helper requests, job seekers and other agencies. Keep them if your record shows real sites coming from them, and judge them on headcount won, not calls.
Clients only compare our service charge. How do we change that?
Put the rest of the comparison on paper. A delivery record for each site, showing requisitions filled, replacements made and challans filed, gives procurement something to weigh against the rate. Without it, the lowest charge wins by default.
Can we name the companies where our associates are deployed?
Only with the client's written agreement, since many treat their vendor list as confidential. Where you have no permission, describe the site type, the industrial belt and the roles. Procurement teams check references privately anyway.
Do workers and clients need separate marketing?
Yes. Workers find you through referrals, WhatsApp, job portals and local mobilisers; clients come through procurement, site HR and search. One menu, one phone line and one budget for both means the client side loses.
We supply government offices through tenders. Will marketing help there?
Less than elsewhere. Tenders on GeM and state portals are decided by eligibility and the rate, so the work there is a clean document set and a bid calendar. Marketing matters more with private sites, where a buyer chooses whom to invite.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and the audit tells you which applies to you. Nothing here is guaranteed.
