Staffing agencies · Email marketing

Write to site HR before the sale season, not after the shortfall.

Email marketing for a staffing agency keeps your name in front of HR, admin and procurement contacts between requisitions, and keeps associates told about openings that suit them. GullySales sets up separate client and associate lists with consent, writes the few messages each side needs, and counts the requisitions that came back by mail.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

What email marketing means

Email marketing is sending planned messages to a list of past and prospective customers who have agreed to hear from you. It suits offers, updates and staying in touch with someone who is not ready to buy yet. GullySales writes and schedules these emails and tracks who opens, clicks and enquires.

For staffing agencies

Where it usually goes wrong, and what we would do.

  • “Your associates are not a marketing list”

Workers gave their number and email to be paid and deployed. Sending them promotions without consent breaks their trust, and India's data protection law has a view on it too.

  • “Procurement contacts change and nobody updates the list”

The buyer who empanelled you moves on, and your mail keeps going to an inbox nobody opens. The new buyer has never heard of you.

  • “The ramp-up brief has a date on it”

Warehouses settle sale-season headcount well before the sale. A note in that window gets read. The same note after the season starts is noise.

What we do

What we deliver for staffing agencies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A client list rebuilt from POs and visiting cards

HR, admin, procurement and facility contacts pulled from purchase orders, invoices and site visits, tagged by site, role and last requisition.

Result: You can write to the people who actually raise requisitions.

  2. A pre-season note to warehouse and retail HR

A short message before the festive season on sourcing towns, training lead time and festival absences, asking for the expected headcount.

Result: Ramp-up briefs reach you while plans are still being made.

  3. An associate list kept apart, with consent

Associates who agreed to hear about openings kept on their own list, separate from anything sent to clients.

Result: Worker messages never land in a client's inbox, and the reverse.

  4. Compliance notes for procurement

Short notes when a state revises minimum wages or a filing changes, explaining what it means for their invoices, checked by your adviser.

Result: Procurement hears it from you first.

  5. Contact checks at every renewal

Each renewal used to confirm who now handles the account at the site and in procurement, so the list follows people as they move.

Result: The list stays alive between contracts.

  6. Requisitions traced to mail

Replies, meetings and requisitions linked to the message that prompted them, set against the audit baseline.

Result: Mail is judged on headcount, not opens.

How the result is measured

  • Open rate
  • Click rate
  • Enquiries from email

Recorded as a baseline before work starts, so every later report has an honest comparison.

What must be in place first

What a staffing agency needs in place before it mails a client or an associate.

Consent recorded for associates
Note when and how each associate agreed to hear about openings, apart from the consent to run their payroll. Payroll data is not a mailing list, and data protection law treats the two purposes differently.
Client contacts tagged with a site and a role
Tag every client address with the site, the person's part in buying, such as site HR or procurement, and the last requisition. A mail with no site in mind reads like a brochure.
A sender procurement will trust
Send from the account owner's name on your own domain, with SPF, DKIM and DMARC set. A free mail address looks like the fake agencies procurement teams are warned about.
Unsubscribe that reaches every system
Honour a stop request across the CRM, the mailing tool and the salespeople's own lists. Note who asked and when, so nobody re-adds the address from an old sheet.
Payroll messages kept out of marketing
Payslips, PF notices and joining instructions go from payroll, never from the marketing tool, and never carry a promotion or an unrelated opening.
A reply path that reaches a person
A reply from a site HR should land with the account owner, not a shared inbox. Send a test to yourself and reply to it before the first real mail goes out.

Who it is for

This is written for these staffing agencies.

  • General staffing for factories and warehouses
  • IT and engineering contract staffing, including contract-to-hire
  • Third-party payroll and compliance takeover
  • Facility staff for hospitals, hotels and tech parks
  • Retail promoters and FMCG merchandisers
  • Field sales and collections teams for banks and NBFCs
  • Apprentice and trainee staffing for plants
  • Event and seasonal temporary staff

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for staffing agencies

  1. 1

    Read the account book

We look at your clients, sites, service charges, renewals and lost bids, and at how enquiries reach the sales team today.

  2. 2

    Fix the vendor proof

The vendor pack, website, Google profile and LinkedIn page brought into line with the licences and the delivery record procurement asks for.

  3. 3

    Separate clients from job seekers

Distinct phone lines, pages and records for client requisitions and for worker applications, so neither swamps the other.

  4. 4

    Open new sites

Outreach to HR, admin, procurement and facility managers in the belts you can supervise, with trial requisitions tracked through to joining.

  5. 5

    Renew on the record

Positions filled, replacements and compliance evidence gathered for each account before its renewal, with the next site or role proposed.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can we buy an HR database and mail it?
Avoid it. Bought lists carry wrong and stale addresses, the people never agreed to hear from you, and a burst of bounces damages the domain your sales team relies on. Build the list from sites you have served, met or quoted.
Should we send a newsletter or write one to one?
To clients, write one to one from the account owner, about their site. A newsletter suits a wider list of HR contacts who have not bought yet, and only if it carries something useful, such as a note on a wage revision.
Our mails to procurement keep landing in spam. Why?
Large companies filter hard. Send from a named person on your own domain with SPF, DKIM and DMARC set, skip heavy attachments in a first mail, and put your vendor code in the subject so their team recognises you.
Should payslips go by email or WhatsApp?
Whichever the associate actually opens, which at most sites is WhatsApp or an app. Send slips from your payroll system, keep them out of any marketing tool, and never tuck an opening alert into a payslip message.
Should a staffing agency advertise on IndiaMART and JustDial?
Only with a screening script in place. These marketplaces bring plenty of manpower enquiries, but many are single-helper requests, job seekers and other agencies. Keep them if your record shows real sites coming from them, and judge them on headcount won, not calls.
Clients only compare our service charge. How do we change that?
Put the rest of the comparison on paper. A delivery record for each site, showing requisitions filled, replacements made and challans filed, gives procurement something to weigh against the rate. Without it, the lowest charge wins by default.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and the audit tells you which applies to you. Nothing here is guaranteed.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
For the audit, last month's enquiries in any format and 90 minutes with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM, and time for the review meetings.
