What to record, and when

What a staffing agency should record for every site and requisition, and whether it needs software yet.

Site, shift pattern and gate contact
Record the site address, the shifts you staff and who signs attendance at the gate. A requisition without the shift pattern puts the wrong people on the wrong bus.
Requisition with its wage basis
Log the roles, headcount, start date and whether wages follow the state minimum, a client wage sheet or a CTC. Note who raised it and whether a PO number exists.
Joined, left early, replaced
For each requisition, record who joined, who left in the first fortnight and why, and when a replacement reported. These lines are your evidence at renewal.
Contract end date and revision clause
Enter the end date, notice period and how the service charge is revised. Set a reminder early enough to prepare a delivery record before procurement opens an RFQ.
Lost RFQs and the reason
When a bid is lost, record the winner if known and the stated reason: rate, documents, references or timing. Read these before you cut your service charge.

Our ATS already holds everything. Do we need a CRM as well?
Your ATS holds candidates and placements. It rarely holds sites, buying contacts, contract dates and lost RFQs. If it can carry those fields, use it; if not, add a light CRM and link the two by client code.
Account managers do not update the system. What works?
Run the sales review from the CRM screen and nothing else. If a site visit is not in the record, it is not discussed. Keep the required fields few, so an update takes a minute after each call.
Site HR sends requisitions on WhatsApp. How do we record them?
Copy each one into the CRM with the date, headcount and roles, and attach a screenshot where the wording matters. A WhatsApp chat on one manager's phone leaves the company when that manager does.
Who owns the client data if an account manager leaves?
The agency, provided the records sit in a company system and the employment terms say so. Today much of it lives on personal phones and personal LinkedIn. Move contacts into the CRM now, not during someone's notice period.
Should a staffing agency advertise on IndiaMART and JustDial?
Only with a screening script in place. These marketplaces bring plenty of manpower enquiries, but many are single-helper requests, job seekers and other agencies. Keep them if your record shows real sites coming from them, and judge them on headcount won, not calls.
Clients only compare our service charge. How do we change that?
Put the rest of the comparison on paper. A delivery record for each site, showing requisitions filled, replacements made and challans filed, gives procurement something to weigh against the rate. Without it, the lowest charge wins by default.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and the audit tells you which applies to you. Nothing here is guaranteed.
What do you need from us?
