Steps of a sale

Take every new site from the first enquiry to the first accepted invoice in the same order.

Enquiry or RFQ
Record headcount, roles, site, start date and the bid deadline. Ask who evaluates the bids and whether an incumbent agency is being replaced, and why.
Site visit with operations
Walk the shop floor or warehouse with your operations head. Note shifts, transport, canteen, safety gear and the supervisor, and photograph the gate rules.
Costing and proposal
Build the quote from wage components, statutory dues and the service charge, in the format procurement uses. Record the version sent and who approved the margin.
Trial deployment
Deploy a small batch first if the client agrees. Log joining, attendance and early exits, and go through them with the site HR before the full headcount moves.
Contract, PO and gate passes
Collect the signed agreement, purchase order, vendor code and gate passes. File the end date and revision clause in the CRM before the first batch reports.
First invoice accepted
Reconcile attendance with the site before billing, attach challans and registers, and confirm the client's accounts contact has accepted the format.

When should we give a rate: on the call or after the site visit?
After the visit, unless the work is simple and you have staffed the same role nearby. A rate given blind becomes the number procurement holds you to. If pushed on the call, offer a range and say what would change it.
Procurement only wants the lowest service charge. Do we match it?
Not below what covers compliance, supervision and replacements. Show your costing line by line and what a lower charge leaves out. If they still choose on price alone, record the loss and stay in touch with the site HR.
Who should run the site visit, sales or operations?
Both, together. Sales knows what was discussed; the operations head knows whether the area can be staffed and what the work needs. A visit run by sales alone is where promises nobody can staff begin.
Should we add a trial deployment before the full contract?
Yes, when the client is new and the headcount is large. A small paid trial shows both sides the real attendance and early exits before the rate is fixed. Agree in writing what the trial covers and how it ends.
Should a staffing agency advertise on IndiaMART and JustDial?
Only with a screening script in place. These marketplaces bring plenty of manpower enquiries, but many are single-helper requests, job seekers and other agencies. Keep them if your record shows real sites coming from them, and judge them on headcount won, not calls.
Clients only compare our service charge. How do we change that?
Put the rest of the comparison on paper. A delivery record for each site, showing requisitions filled, replacements made and challans filed, gives procurement something to weigh against the rate. Without it, the lowest charge wins by default.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and the audit tells you which applies to you. Nothing here is guaranteed.
