IT hardware resellers and system integrators · Follow up systems

Call back before the buyer picks the supplier who did.

A follow-up system for an IT hardware reseller is the routine that confirms a quotation arrived, answers the commercial question and records the outcome. GullySales works on the steps, the owner for each step and the record that shows what happened.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For IT hardware resellers and system integrators

Where it usually goes wrong, and what we would do.

  • “The quote lands in a pile”

An IT manager gets several quotes at once and reads the first clear one. A call confirming receipt and offering to clarify a line is how a late quote stays in the pile.

  • “The commercial question is not the first one”

Buyers ask about delivery, warranty and payment terms before they ask for a discount. A salesperson who answers those closes the gap before price comes up.

  • “A lost quote carries a lesson”

When an order goes elsewhere, the reason is worth a polite question. It shows whether price, response or authorisation decided it.

  • “Delivery is a follow-up moment”

The week an order is delivered is when the buyer is receptive to the network, backup or warranty extension they did not buy. Silence after delivery wastes it.

What we do

What we deliver for IT hardware resellers and system integrators.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A follow-up sequence for each quote

A call or message to confirm receipt, a second to answer questions and a close-out note, with the owner and trigger for each.

Result: No quote is left without a next step.

  2. Reply scripts for common questions

Short, factual answers on warranty, delivery, payment terms and installation, kept in a shared document.

    Result: Salespeople answer consistently.

  3. A lost-quote note

A short entry for each lost quote with the reason given by the buyer or the best reading of it.

Result: Patterns in lost orders become visible.

  4. A post-delivery check-in

A call after delivery to confirm the equipment works and to ask about the next need.

Result: Delivery leads to the next conversation.

  5. A review of overdue follow-ups

A list of quotes past validity with no recorded contact, reviewed by the sales head.

Result: Dropped quotes are found before they expire.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

When do we stop following up a quote?
Follow until the buyer says yes, no or not now, and record which. Each contact should add something, such as an answer or a clarification, and not repeat the same question.
Is WhatsApp acceptable for follow-up?
For buyers who contacted you on it, yes, with a clear business identity and an easy way to stop messages. Keep a copy of the quote on email as the formal record.
What if the buyer goes silent?
Send a final note with the quote's validity date and an offer to update it, then log the outcome. A recorded silence is better than an open quote that nobody reads.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
