IT hardware resellers and system integrators · Technology

Answer the quotation first and hold the AMC after the box is delivered.

The IT manager at a Coimbatore engineering firm needs forty laptops and two switches before the audit. A quotation request goes to four resellers on WhatsApp and email on the same morning. By evening one reply has the model, the warranty terms and a validity date, and another says the price will be confirmed tomorrow. The first reseller gets the call.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

IT technicians checking laptops and network equipment

In one paragraph

An IT hardware reseller or system integrator supplies servers, laptops, networking and storage from authorised OEMs, then configures, installs and services them under an annual maintenance contract. The sale runs on quotation speed, OEM partner status and a price list that moves. GullySales builds the quote routine, the partner proof and the AMC renewal record.

Hardware is bought on comparison. The buyer, or a purchase officer behind them, lines up quotations against the same specification, checks the reseller is an authorised partner of the OEM, and asks who will attend when a server fails. Distributor prices change between the morning and the afternoon, so a stale quote is either a loss or an argument. The reseller that answers fast, shows the authorisation papers and still has a service engineer after the delivery challan is signed keeps the account, and the AMC is where the margin sits.

How buyers decide

How IT hardware resellers and system integrators are chosen.

An IT manager or purchase officer sends the same specification to a few resellers and reads the replies side by side. Make, model number, quantity, warranty, delivery point, GST and quote validity are the lines compared. A reply that leaves one of them out costs a follow-up call, and the reseller who made the call necessary falls behind.

Authorisation decides who is allowed to bid at all. Enterprise buyers and public bodies ask for the OEM's authorisation letter for that tender or that product line, and some ask for the partner tier. State only the partner status you hold, with the letter ready. A claimed tier that the OEM portal does not show is found at once and ends the bid.

After the order, the buyer judges you on the AMC. Who attends, whether spares are held, and whether the renewal reminder arrives before the old contract lapses are what separate a supplier from a vendor the buyer rotates out at the next purchase.

The problem

What usually goes wrong for IT hardware resellers and system integrators.

What owners tell us on the first call, in their words.

  • “The quote goes out late because the price list changed”

Distributor rates are updated in the morning. The salesperson quotes from yesterday's sheet or waits for a confirmation, and by then the buyer has two other replies.

  • “We lose tenders on L1 and have nothing else to show”

Every bid comes down to the lowest price. Our past installations, certifications and service coverage sit in separate folders and never reach the bid pack.

  • “The OEM authorisation is not in a form the buyer accepts”

A tender asks for a manufacturer's authorisation letter for that bid. We ask the OEM at the last hour, and the submission date arrives first.

  • “AMC renewals lapse without anyone calling”

The contract end date sits in one engineer's diary. The client finds out the cover has ended when the server fails, and a rival is quoted for the repair.

  • “Every enquiry is treated as a one-box sale”

A laptop order from a growing company is invoiced and forgotten. Nobody asks about the network, the backup or the next branch while the buyer is still in the market.

  • “Marketplace buyers compare us on the cheapest listing”

A buyer who found us on IndiaMART or a price portal asks for the street price. Without a visible reason to buy from a local integrator, we compete with an online listing.

What we do

What we do for IT hardware resellers and system integrators.

Everything included for IT hardware resellers and system integrators.

  1. A quote template buyers can compare

One format with make, model number, quantity, warranty, GST, delivery point and validity date, filled from a single price sheet that the team updates when the distributor does.

  2. A partner and authorisation pack

The OEM partner status you actually hold, authorisation letters, GST and registration papers, and a list of installations by type, kept in one shared folder.

  3. An enquiry record that shows who replied and when

Quotation requests from email, WhatsApp, IndiaMART and the website logged with the specification, the contact, the quote sent and the follow-up due.

  4. Pages by what you supply and where you serve

Separate pages for laptops, servers, networking and AMC, each naming the brands you are authorised for, the cities you service and how an engineer is reached.

  5. An AMC register with renewal dates

Every contract logged with client, equipment, serial numbers, start, end and the person who signs the renewal, with a reminder before each end date.

  6. A bid library for tenders

Eligibility answers, past supply orders, certificates and service-centre details, kept current so a tender is assembled instead of rewritten.

How the result is measured

  • Quotation requests received and quotes sent
  • Time between a request and the quote leaving
  • Quotes won, lost and the reason recorded
  • AMC contracts renewed before the end date
  • Tenders bid against tenders noticed
  • Repeat orders from existing accounts

Recorded as a baseline before work starts, so every later report has an honest comparison.

Worth a page and a campaign of their own

Quotation replies with the make, model, warranty and validity on page one · Laptop refresh orders for schools, colleges and offices · Server and backup upgrades for growing companies · Branch networks for banks, clinics and retail chains · Tenders on GeM and state e-procurement portals · OEM partner proof ready for each bid · AMC renewals before the contract end date · Cross-selling the network, backup and security after a laptop order

Priority campaigns

Campaigns for what IT hardware resellers and system integrators most want to sell.

Each one planned around when your buyers decide, and measured against the baseline.

  • Refresh-cycle outreach to existing accounts

A list of clients by the date their laptops, servers or contracts were bought, with a message to the IT manager as the equipment nears the end of its warranty.

  • Authorised-partner pages for each OEM

A page per brand you hold, stating the authorisation you can document, the products supplied and the service you provide in that city.

  • Quote follow-up in the week of the decision

A short routine after each quotation: a call to confirm receipt, a reply to the commercial question, and a record of the answer given.

  • Network and backup add-on after hardware orders

A conversation with each laptop or server buyer about the switch, the backup and the warranty extension they have not yet bought.

  • Tender screening for public portals

A checklist your team uses to read GeM and state portal notices for the products you are authorised to supply, with a go or no-go note on each.

Beyond search

Where we reach buyers of IT hardware resellers and system integrators, beyond Google.

Search matters, but it is rarely the only way this industry's buyers find a supplier.

  • IT managers and purchase officers

The person who sends the specification and compares the replies. Reach them with a clear quote format and a short list of brands and cities served.

  • Founders of growing companies

A company opening a second office buys through the founder or the finance head. Reach them through local search, referrals and the accountant who sees the books.

  • Schools, colleges and clinics

Institutions refresh equipment before the academic year or the audit. Reach the administrator with a package they can approve in one meeting.

  • Public-sector buyers

Departments buy through GeM and state portals. Reach them through empanelment, a ready bid pack and notices matched to your authorisations.

  • OEM and distributor account managers

The brand's channel manager passes registered deals and leads to partners. Keep the deal registrations and partner profile current.

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

How the work runs for IT hardware resellers and system integrators

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Read the last twenty quotations

We look at what was asked for, what was sent, how long the reply took and why each was won or lost.

  2. 2

Set the price sheet and the quote format

We agree how the price list is updated and who may issue a quote, then build the one format every reply uses.

  3. 3

Assemble the partner and bid pack

We collect the authorisation letters, registrations, past orders and service details and check each against its source.

  4. 4

Build the pages and the enquiry record

We write the brand, product and city pages and set up the record that captures every request and its follow-up.

  5. 5

Set up the AMC register and review the lost quotes

We load the contracts with their dates and review the lost quotations to see where the reply, the price or the service decided it.

Where this fits

Three pieces of sales work, in this order.

GullySales builds every engagement from three pieces of sales work. This page is not one of them, but the same three steps apply to the business behind it.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions IT hardware resellers and system integrators ask before they call.

Not here? More answers, or ask on WhatsApp.

Can we say we are an authorised partner of a brand?
Only if the OEM has authorised you and you can show the letter or portal listing. State the exact status you hold. A tier or a certification you cannot document is checked by buyers and tenders, and a wrong claim ends the bid.
How do we stop quoting from an old price sheet?
Name one person who updates the sheet each time the distributor changes rates, and let only that sheet feed the quote format. Put the validity date on every quote, so a buyer sees how long the price holds.
Is competing on GeM worth it for a small reseller?
It depends on whether you hold authorisation for the products tendered and can meet the delivery and service terms. Read the notices first and bid where you can document eligibility. Check the portal's current rules before each bid.
How should AMC renewals be handled?
Keep a register with each contract's end date, equipment and signatory, and start the renewal conversation well before the date. The renewal should be a call from you, not a reminder the client receives after the cover has ended.
Should we list on IndiaMART for hardware?
Keep it if your record shows real company orders from it, and judge it on orders won rather than enquiries. Enquiries from marketplaces compare street prices, so a clear quote and a local service promise are what separate you.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and we tell you which applies to you after we have spoken. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
To start, last month's enquiries in any format and time with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM.
