CRM solution providers · Follow up systems

Turn the silence after a demo into a clear next step, without nagging the buyer.

A follow-up system for a CRM partner is the routine of summaries, reminders and questions that follows every demo and proposal. GullySales works on that routine, so a buyer who goes quiet is asked one useful question at a time.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For CRM solution providers

Where it usually goes wrong, and what we would do.

  • “The decision sits with one absent person”

A demo is watched by the manager, but the final yes comes from an owner who was not in the room. Follow-up has to give the manager something to forward, such as a short summary in the owner's terms.

  • “Silence can be a question you did not answer”

A buyer who stops replying may be waiting on an integration answer or a data-migration worry. A follow-up asking what is holding the decision finds that out. A follow-up asking whether they have decided does not.

  • “A proposal without a date for the next step drifts”

A document sent with no agreed next call becomes an attachment in an inbox. Fixing the next step before the call ends, and recording it in the CRM, keeps the deal from drifting.

What we do

What we deliver for CRM solution providers.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A post-demo summary template

A written note listing what the buyer said they needed, what was shown and the agreed next step.

Result: Every demo is followed by a note the buyer can forward.

  2. A follow-up message set

Short messages for email and WhatsApp that each ask one question, such as who else must see the proposal.

Result: Your team has ready wording for each stage.

  3. Stalled-deal rules in the CRM

Reminders that flag proposals with no reply and prompt a named person to act.

Result: No open proposal sits without an owner.

  4. A reactivation note for old demos

A message for buyers who saw a demo and went silent, referring to something they said they needed.

Result: Old demos get a considered second attempt.

  5. A lost-deal review

A short record of why each lost deal was lost, filled in when the deal closes.

Result: Patterns in losses become visible.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

A demo that ends without a next step needs these records and messages.

Summary sent after the demo
A message to the owner and the sales head listing what was shown, what the buyer asked for and the next step agreed, in the buyer's own words.
Person who did not attend the demo
Record the absent decision maker and a short note to share, because the person who signs may not be in the room.
Open question from the demo
Log the question the consultant could not answer on the spot and the person who will reply, with a note once it is answered.
Proposal sent, no date agreed
A flag in the pipeline when a proposal goes without a call fixed, prompting a short message to agree on the next conversation.
Old demo with no decision
A reactivation note recording the date of the last demo and a reason to write, such as a new integration or a trade page.

Who it is for

This is written for these CRM solution providers.

  • Zoho, HubSpot and Salesforce partners and implementation firms
  • Vertical CRM vendors for real estate, education or insurance
  • Indian CRM product companies selling to small and mid-sized businesses
  • Consultants who configure Bitrix24, Pipedrive or Freshsales
  • WhatsApp-first CRM and sales automation tools
  • Freelance CRM consultants growing into a small firm
  • IT firms adding CRM as a service line beside ERP
  • Telephony and call centre software vendors with a built-in CRM

Not for

It is not the right fit if.

  • Demos are held by several consultants with no common record, so a follow-up message would arrive without context.
  • You want to message buyers who said no, which turns a lost deal into a complaint.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From your recent enquiries, we set the time each arrived against its first reply, using the call log, chats, form entries and portal panel. We also count the follow-ups each one got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Write the templates and first-call questions

The first reply, the quote follow-up and the last attempt are written in your voice and loaded as quick replies. The first-call questions are agreed with your best salesperson.

  4. 4

    Set ownership, tasks and alerts

Named owners, cover for leave and CRM or sheet tasks go live. App alerts, such as IndiaMART's, are switched on for the right phones.

  5. 5

    Track and adjust

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept. How often you are reported to is agreed in writing.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How often should we follow up?
Set the rhythm per stage, and let each message carry a reason to reply. We do not give a fixed count, because a buyer waiting for an integration answer needs a different message from one comparing prices.
Should follow-up be automated?
Reminders, yes. The messages themselves should read as written by a consultant who remembers the call. Automation that sends generic notes will sound like every other partner.
What do we do when a buyer says they chose a cheaper partner?
Thank them, ask what decided it, and log the answer. Leave a door open for the support or integration work a cheaper set-up may later need.
What if the buyer tells us they are comparing partners?
Ask what the comparison is based on and offer to show how you would handle one scenario from their own business. A buyer comparing partners has no basis except price, and a worked example from their data is the one item the other partner has not shown.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
