Website design and development companies · CRM

Keep every enquiry, proposal and renewal date in one place the whole studio can read.

A CRM for a web design company is the record of who asked for what site, what was quoted, what is outstanding and when hosting or maintenance falls due. GullySales sets up the stages and fields in Zoho CRM, HubSpot or even a shared spreadsheet, whichever your team will keep up.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

For website design and development companies

Where it usually goes wrong, and what we would do.

  • “The proposal lives in one person's inbox”

When the founder who sold the project is on leave, nobody knows which version went out, what was promised on the call or whether the client replied. The cost shows up as a second quote at a different price.

  • “Projects and sales sit in two different tools”

The task board tracks the build and the sales record stops at the signature. Nobody can see which won clients still owe content, which have a maintenance plan and which have never been asked about one.

  • “Domain and hosting renewals are remembered, not recorded”

The expiry date is in someone's head or an old email. A renewal missed means a site goes offline for a client who then calls someone else, and a renewal caught is the easiest sale you make.

  • “Fields copied from a template miss what a studio needs”

A generic CRM asks for company size and deal value. A web company also needs site type, platform, who owns the domain, which pages are agreed, what content is pending and what was left out of scope.

What we do

What we deliver for website design and development companies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Pipeline stages that match a web project

Stages from enquiry through scoping call, proposal, negotiation, won, build, handover and maintenance, with a clear rule for moving between them.

Result: Every opportunity sits in one stage that everyone understands.

  2. Fields for site type, platform and ownership

The details a studio needs on every record: site type, platform, agreed pages, domain owner, hosting provider and what is out of scope.

Result: A record shows the full scope without opening the proposal.

  3. A content-received tracker

A field and a view showing which clients have sent text, photographs and logos and which are still holding up the build.

Result: You can list every project waiting on the client.

  4. Renewal and maintenance dates

Domain, hosting and maintenance contract dates held against each client, with a list of those falling due.

Result: Each site has a renewal date on record.

  5. A shared view for the founder

One screen showing open proposals, projects waiting on content and clients due for a renewal conversation.

Result: The founder reads the state of the pipeline without asking the team.

How the result is measured

  • Enquiries logged in the CRM
  • Data completeness
  • Reports generated from CRM data

Recorded as a baseline before work starts, so every later report has an honest comparison.

Fields worth keeping

The fields that let a studio reopen a website job years later.

Site type and platform
Filled by the salesperson at first call: brochure, store, web app, WordPress or Shopify. Lets you list every client on a platform when it changes.
Content received status
Updated by the project manager as text, images and logos arrive. Shows why a launch is late and who must be asked.
Domain, hosting and code ownership
Entered at scoping. Stops a dispute at handover and tells you who renews what.
Renewal and maintenance dates
Entered at launch by the account owner. Drives the list of warm calls to clients with a site that needs care.
Proposal version and scope notes
Kept by the salesperson. Lets anyone see what was promised when a client asks for a change that was never priced.
Reason a proposal was lost
Entered by the founder after the loss. Separates price, timing and trust.

Who it is for

This is written for these website design and development companies.

  • Small web design studios for local businesses
  • WordPress and WooCommerce developers
  • Shopify and e-commerce website builders
  • Custom web application developers
  • UI and UX design firms
  • Web companies focused on one industry, such as healthcare or real estate
  • Hosting and website maintenance providers
  • Freelance web developers building a team

Not for

It is not the right fit if.

  • Your proposals live in each person's email and nobody will move them, so a shared pipeline would stay out of date.
  • You build a few sites a year for known clients, and a CRM would be more upkeep than the work it supports.
  • You have not decided who owns renewals, and a field without an owner would fill with wrong dates.

How it works

How the CRM work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Map the sales process

We sit with the people who sell and write down how a deal moves from enquiry to payment, including where it stalls.

  2. 2

    Agree stages, fields and owners

Each stage gets a name your team already uses and a proof that the deal has left it. We agree which fields are required at which stage, and who may change what.

  3. 3

    Build on a copy

Pipeline, fields and views are built on a trial copy where the CRM offers one, or in a separate pipeline where the plan allows. Live work stays untouched.

  4. 4

Connect channels, then switch on automations

Channels are connected first. Each automation is then switched on separately, so a misfiring rule is easy to find.

  5. 5

    Test with real deals

The people who will use the CRM run open deals through it. Gaps are fixed before the whole team switches over.

  6. 6

    Switch over and trim

Once real use shows which fields stay empty and which stages nobody uses, those are cut and the handover record is updated.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales management. A target, a review routine and someone who owns the number.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3 · you are here

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Which CRM should a small studio choose?
The one your team will open every day. Zoho CRM and HubSpot are in ordinary use among Indian agencies, and a well-built spreadsheet beats an unused tool. We compare options against your size and how you work.
Can the CRM link to our project tool?
An integration or a simple shared reference is enough. What matters is that a won deal carries its scope into the project and the finished project returns to the CRM as a client with a renewal date.
Which CRM should a small studio choose?
One the team will open daily. A simple pipeline tool with custom fields covers a studio, and a heavy system fails when no one enters data. Pick a tool that can hold site type, platform, ownership and renewal date, then test it on current proposals.
Can the CRM link to our project tool?
A manual link is enough at first: paste the project tool's address in the CRM record. Automatic sync can wait until the habit holds. The constraint is that two tools disagree about status, so name one as the source for each field.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
