GullySales

Yoga and pilates studios · CRM

Know which student is on session nine of ten before she does.

A customer relationship management (CRM) system for a studio is the single record of each student's trial date, pack purchased, sessions used, batch attended and the teacher she follows. GullySales sets up the fields, the attendance entry at the door and the reports your manager reads from it.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

What CRM means

A CRM is the record where every enquiry, call and quote is kept against a customer, replacing separate notebooks, spreadsheets and memory. GullySales sets up or cleans an existing CRM and reports from it by enquiry outcome rather than by activity logged.

For yoga and pilates studios

Where it usually goes wrong, and what we would do.

  • “Attendance is the record, so it has to be marked at the mat”

A CRM a studio does not update at the door is a list of phone numbers. The teacher marks the batch from her phone before the first sun salutation, and the pack balance moves without anybody at the desk typing it in later.

  • “The pack balance is the sales pipeline”

A gym counts memberships. A studio counts sessions left. The report your manager needs is every student with two sessions remaining, sorted by batch, because those are the renewal conversations to have before the pack runs out.

  • “The teacher's notes belong in the record, not in her head”

A student's slipped disc, her prenatal stage or the wrist she asked to avoid loading travels with her when she switches from the 7am to the 6pm batch. When it lives only with one teacher, a substitute puts her into a pose she was told to skip.

What we do

What we deliver for yoga and pilates studios.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A student record built around the pack

Fields for trial date, source, pack type, sessions bought, sessions used, expiry, batch, home teacher and the condition notes she has agreed to share.

Result: One screen tells you where every student stands.

  2. Attendance marked from the teacher's phone

A register per batch that the teacher ticks at the start of class, which draws down the pack and flags anyone attending on an expired one.

Result: Nobody is on session twelve of a ten-session pack.

  3. Waitlist and batch capacity in the same place

Each reformer bed and each mat slot counted per batch, with the waitlist held against it rather than in a WhatsApp group the desk scrolls through.

Result: A released bed goes to the next name, not the loudest.

  4. Reports your manager reads

Students near expiry by batch, trials not converted by teacher, attendance by time slot, and which batches are full at 7am and empty at 11am.

Result: You know which batch to open and which to close.

  5. Consent and health notes stored properly

Injury and pregnancy notes kept with the student's consent, visible to whichever teacher takes her class and to nobody else.

Result: A substitute teacher walks in knowing what to avoid.

How the result is measured

  • Enquiries logged in the CRM
  • Data completeness
  • Reports generated from CRM data

Recorded as a baseline before work starts, so every later report has an honest comparison.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. 01 · First

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. 02 · After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. 03 · Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. 04 · After the baseline

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. 05 · As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. 06 · At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for yoga and pilates studios

  1. 1

Audit the trial and retention journey

We check how a new student books a trial class today, how fast that booking is confirmed, and whether dropping attendance is ever noticed.

  2. 2

    Build class-type pages for beginners

A page for each major class type, explaining who it suits and what to expect, replacing a schedule with no context.

  3. 3

    Enable instant trial booking

An online booking system that confirms a trial class immediately, at any hour, rather than requiring a call during studio hours.

  4. 4

Bring in the right new students

Local search, social content and seasonal campaigns timed to when people actually decide to start, such as January.

  5. 5

Catch drop-off before it becomes a cancellation

An attendance-based alert that flags a member whose visits have slowed, prompting a personal check-in before they quietly leave.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can we run this on the booking app we already use?
If it records sessions used, expiry and which teacher a student follows, and your manager can pull a list of students near expiry from it, you already have a CRM. Most studio booking apps do the schedule well and the record badly. We start from what you have, and only change it if the report cannot be built.
Who fills it in, the teacher or the front desk?
The teacher marks attendance, because she is the one standing in front of the mats. The desk records the purchase and the trial booking. Anything that needs somebody to remember to type it in after class does not get typed in.
Do you help with actual class content or instruction?
No, that stays entirely with your instructors. We handle how new students find and book classes, and how the studio stays in touch with members.
Can this work for a single, independent studio?
Yes. The trial booking page and the attendance alert are set up once. After that, the person at the front desk spends a few minutes a day on the check-in messages, usually between the morning and evening batches.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and the audit tells you which applies to you. Nothing here is guaranteed.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
For the audit, last month's enquiries in any format and 90 minutes with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM, and time for the review meetings.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
