Yoga and pilates studios · Follow up systems

Chase the trial that never came back and the member who stopped coming.

Follow-up for a studio is what happens after a trial class that did not turn into a pack, a pack that ran out quietly, and a member who has missed her batch for a fortnight without saying why. GullySales writes who sends which message, when, and the point at which the studio stops asking.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For yoga and pilates studios

Where it usually goes wrong, and what we would do.

  • “The trial student decides on the walk to the car”

She tried the 7am Hatha batch, said she would think about it, and the front desk never heard from her again. The message that works goes out the same evening, from the teacher, and mentions the one thing she said about her shoulder or her schedule. A pack price sent cold a week later is ignored.

  • “A missed batch is a signal, a missed fortnight is a resignation”

Members rarely cancel. They stop coming, the pack expires, and the studio notices when the auto-debit fails. The follow-up starts at the second missed class, from the teacher, and asks about the knee or the office move rather than pushing the renewal.

  • “The reminder before class is a follow-up too”

For a reformer batch with six beds, a no-show is a bed nobody else could take. A confirmation the evening before, with a way to release the spot, fills it from the waitlist. Write down when the studio stops chasing, because a student who has ignored four messages has answered.

What we do

What we deliver for yoga and pilates studios.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A same-evening message after every trial

A short note from the teacher who took the class, sent the day of the trial, that names what the student mentioned and offers the pack that fits her batch.

Result: The trial is followed up while she still remembers the class.

  2. An absence rule by class type

The number of missed sessions after which a teacher, not the desk, writes to a member, set separately for a daily Hatha batch and a reformer slot she attends on two days.

Result: A member hears from you before the pack quietly expires.

  3. A pack-expiry sequence

Messages at the last two sessions of a pack and again after it lapses, worded around the batch she attends rather than the price.

Result: Renewals are asked for at the right session, not after the fact.

  4. Confirmation and waitlist release before each session

A confirmation the evening before for small equipment classes, with a one-tap release that offers the bed to the next person waiting.

    Result: A no-show becomes somebody else's class.

  5. A written stop rule

The point at which a trial or a lapsed member is marked closed and left alone, agreed with your senior teacher so nobody is chased into blocking your number.

Result: Your studio is remembered as attentive, not as a nuisance.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. 01 · First

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. 02 · After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. 03 · Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. 04 · After the baseline

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. 05 · As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. 06 · At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for yoga and pilates studios

  1. 1

Audit the trial and retention journey

We check how a new student books a trial class today, how fast that booking is confirmed, and whether dropping attendance is ever noticed.

  2. 2

    Build class-type pages for beginners

A page for each major class type, explaining who it suits and what to expect, replacing a schedule with no context.

  3. 3

    Enable instant trial booking

An online booking system that confirms a trial class immediately, at any hour, rather than requiring a call during studio hours.

  4. 4

Bring in the right new students

Local search, social content and seasonal campaigns timed to when people actually decide to start, such as January.

  5. 5

Catch drop-off before it becomes a cancellation

An attendance-based alert that flags a member whose visits have slowed, prompting a personal check-in before they quietly leave.

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How soon after a trial class should we message?
The same evening, and from the teacher, not the front desk. She is deciding at that moment whether she felt looked after, and a message that names what she said answers that. Two days later it reads as a sales message.
What do we say to a member who has just stopped turning up?
Ask how she is, not whether she is renewing. Most lapses are a travel month, an injury or a change in office hours. A teacher's message that names her old batch gets a reply where a renewal reminder does not. If she does not answer the messages in your written rule, close the record and stop.
Do you help with actual class content or instruction?
No, that stays entirely with your instructors. We handle how new students find and book classes, and how the studio stays in touch with members.
Can this work for a single, independent studio?
Yes. The trial booking page and the attendance alert are set up once. After that, the person at the front desk spends a few minutes a day on the check-in messages, usually between the morning and evening batches.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
For the audit, last month's enquiries in any format and 90 minutes with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM, and time for the review meetings.
