Sales management · Legal and ethical issues
Know where every phone number came from before you call it.
Customer data and telemarketing compliance is the habit of knowing where each contact came from, what the person agreed to, and who can see it, and of running promotional calls, SMS and WhatsApp within the telecom rules. This page lays out the data inventory, the consent check and the opt-out process your lawyer will review.

In one paragraph
Customer data and telemarketing compliance is the habit of knowing where each contact came from, what the person agreed to, and who can see it, and of running promotional calls, SMS and WhatsApp within the telecom rules. This page lays out the data inventory, the consent check and the opt-out process your lawyer will review.
A coaching institute in Pune buys a list of parents' numbers from a vendor and sends them all a WhatsApp broadcast the same evening. Replies pour in asking to be removed, and a few people complain to the number's owner. Nobody at the institute can say where the list came from.
The fix starts on one sheet. Write down every place you hold contact details: the CRM, a rep's phone, an Excel file on the front desk laptop, the broadcast tool. For each, record the source, the fields, what the person agreed to, and who can open it.
The owner is accountable, the CRM admin or office manager keeps the sheet, and a lawyer reviews it. It replaces the shared contacts file that every rep exports when they leave.
This page is general guidance, not legal advice. The data protection law, the telecom regulator's rules on promotional calls and messages, and the messaging platform's own policy all apply, they differ by situation and they change, so take the finished sheet to your own lawyer. It sits beside the legal risk checklist and the gifts and confidentiality policy.

If you want this done for you
Make sure the phone numbers on your marketing list were actually given with permission.
The work
What this is actually like.
“A bought list has no consent attached”
The vendor says the numbers are verified. That tells you the numbers ring, not that anyone agreed to hear from you. Ask where each name came from, in writing. If the vendor cannot answer, the list is a liability you are paying to hold.
“Your rep's phone is part of your database”
Customer numbers saved in personal phones, and WhatsApp groups with customers as members, are outside any control you have. When the rep resigns, the list leaves with them. Decide which numbers live in the CRM and make the phone a window, not the vault.
“Promotional and transactional are different animals”
An invoice reminder to a customer who bought last week is not the same as an offer to someone who never asked. The telecom rules treat them differently, with different sender registrations and templates. Label every message type before choosing the channel.
“Opt-out is a process, not a courtesy”
Someone writes STOP, or tells a rep not to call again. If that goes into a notebook and no list changes, the next campaign calls them anyway. One named person owns the do-not-contact list, and every campaign is checked against it before it goes out.
What we do
What you end up with.
The documents this topic produces, what each one is for, and how you know it is finished.
The data inventory
One sheet with a row per store of contact data. Columns: where it sits, source, fields held, number of records, consent status, who has access, and when it was last cleaned. The CRM admin fills it in.
Result: Finished when you can state where a given customer's number is stored and how it got there.
The consent check
For each source, whether you hold a record of agreement: a form, an enquiry, a purchase, a reply to a message. Sources with none go on a hold list and are not used for promotion.
Result: Finished when no promotional list in use has a blank consent column.
The telemarketing set-up check
A one-page list of how promotional calls and messages go out: the registered sender, approved templates, the do-not-disturb scrub, calling hours, and the record of who was contacted. The sales head checks it against the vendor's papers.
Result: Finished when a sample campaign can be traced from template to recipient list.
The access list
Who can view or export customer data, by role, and who has been removed since the last review. Exports are limited to those who need them.
Result: Finished when a leaver's access is closed the same day their last day is entered.
The data-request process
A one-page routine for opt-outs, corrections and deletion requests: who receives them, where they are logged, who updates every system, and how the requester is told.
Result: Finished when a test request is traced through the CRM, the broadcast tool and the do-not-contact list.
Why us
