Website chat and chatbot lead capture · Sales

Catch the visitor who reads three pages, types nothing and leaves.

Most people who visit your site will never fill in a form. They read the price page, look at two photos of past work and close the tab. Typing one line into a chat box is easier than filling six fields, so a few of them will do that instead.

In one paragraph

Website chat and chatbot lead capture is a chat window that asks a visitor two or three questions about the job, then hands the thread to a person. GullySales writes the questions, sets the rule for who picks a chat up and how fast, and files every conversation in your CRM with the page it started on.

Chat is a capture point, not a salesman. It finds out what the visitor came for, then puts the whole thread in front of whoever is on duty, with the page they were reading attached. Nothing sits in a widget dashboard that nobody opens.

A bot also answers at midnight, which matters for some trades and not for others. If a customer is locked out of the house at 11 pm, they want a number to ring at the top of the page.

The problem

Does this sound like your business?

What owners tell us on the first call, in their words.

  • People come to the site and nothing comes of it

Analytics shows four hundred visitors. The form shows three enquiries. The rest had a question and nobody was there to answer it.

  • The chat we switched on just collects names

A widget greets everyone and asks for a name and number. Nobody reads the transcripts, and the numbers get called two days later.

  • The bot answers everything except what they asked

A visitor asks whether you service a Bosch pump and gets a menu of four buttons. He leaves and calls the next result.

  • Chats live in the widget and nowhere else

Last month's conversations sit in a dashboard nobody logs into. When the same buyer rings, your team starts from zero.

What we do

Everything that is included.

Each deliverable, and what it gets you. Nothing here is an extra.

  1. Chat on the pages where people hesitate

The widget opens on the price page and the service pages, and stays quiet on the blog.

  2. The qualifying questions

Two or three questions written for what you sell: what needs doing, where, and how soon. Enough to tell a buyer from a student doing a project.

  3. Answers to what people actually ask

Written replies for the ten questions your team types out every week: hours, the areas you cover, whether you quote a rough price on chat.

  4. The handover rule, day and night

Who the chat goes to, and how fast. At 11 pm the window promises a callback time your team can keep, instead of an instant reply nobody is awake to give.

  5. A CRM record for every chat

Each conversation saved against a lead with the page it started on, so the person who rings back already has the history.

  6. Chat traced to orders

Each conversation tagged with its page and campaign, so the report can say which chats became orders, not how many chats there were.

How the result is measured

  • Chats started, by page
  • Chats that produced a contact number
  • Time from a chat starting to a person joining it
  • Enquiries from chat that became orders
  • Questions the bot could not answer

Recorded as a baseline before work starts, then reported every month against it.

Who it is for

This is written for you if these sound familiar.

  • A few hundred visitors a month, and a contact form that brings in two enquiries
  • Buyers who will type one line on WhatsApp but abandon a six-field form
  • Someone at a desk in working hours who can pick up a chat within a few minutes
  • Work priced after a site visit, where the first job is finding out what the visit involves
  • Visitors who arrive at 10 pm comparing you with two other suppliers

Not for

It is not the right fit if.

  • An emergency trade where the customer wants a voice. A locksmith or an ambulance service puts the phone number in front of them, not a chat window
  • Nobody can pick up the handover for a day, so the chat collects names that go cold
  • Ten visitors a day. Fix that first, because a chat window on an empty site has nothing to catch

How it works

From your first message to the first monthly report.

No open-ended retainer. Each step has a point in time and something you receive.

  1. 01 · Day 1

    Free audit call

45 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. 02 · Within a few working days

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope and fee come with it, in writing.

  3. 03 · Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later month has an honest comparison.

  4. 04 · Month 1

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. 05 · Every month

    Report against the baseline

What moved, what did not, and what changes next, in plain words.

  6. 06 · Month 3 to 6

    Renew on the numbers

The term ends and you decide whether to continue from the results. No twelve-month lock.

How the website chat and chatbot lead capture work runs

  1. 1

Read what the site already does

We record how many visitors arrive, which pages they read before enquiring, and what the form produces today. That is the baseline.

  2. 2

Write the questions and the answers

Drafted from your own enquiry history, then checked with whoever answers the phone. They know what buyers really ask.

  3. 3

Agree the handover and the hours

Who picks up a chat, within how long, and what the window says when the office is shut.

  4. 4

    Install, connect and test

The widget goes on the chosen pages and connects to your CRM. We test it on a phone, on mobile data, before it goes live.

  5. 5

    Read the transcripts every month

We go through what people asked, fix the answers that missed, and report enquiries and orders from chat against the baseline.

Proof

What happened when owners fixed this.

Real clients, the work we did, and the result as it was recorded. Where no number was recorded, none is claimed.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every monthly report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No lock-in, no guarantees we cannot keep

Three to six months at a time. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

We run the work month by month, report against the baseline every month, and you renew on the numbers. No twelve-month lock.

  4. Option 4

Guidance for your own team or agency

We plan, brief and check the work of your in-house team or current agency, instead of replacing them.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Will a chat window annoy our visitors?
It does when it pops up on every page and repeats itself. We set it to open on the pages where people hesitate, keep the greeting to one line, and make the close button stay closed for that visit.
Do we need a bot or a person on chat?
Both, in that order. The bot greets, asks two or three questions and covers the hours nobody is at a desk. A person takes the thread the moment the question needs a real answer, because a bot alone loses the buyer at the first unusual one.
What if nobody on our team can answer a chat?
Then do not put chat on the site yet. A visitor who waits in front of a blinking cursor and gets nothing thinks worse of you than one who saw no chat at all. Run it only for the hours you can cover.
Will this work for an emergency service?
Rarely for the emergency itself. Someone locked out at 11 pm wants the number, so that belongs at the top of the page. Chat earns its place lower down, for the planned work: a digital lock, rekeying an office after a staff change.
How is this priced?
There is no published price. The free audit counts your visitors and the enquiries they produce today, and the scope follows from that: the questions, the answers, the CRM connection and the setup. The chat tool's own monthly fee is billed to you directly.
How long is the contract?
Three to six months at a time. There is no twelve-month lock, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time and follow-up usually show in weeks, because the enquiries already exist. Process, CRM and training changes show as the team uses them. The monthly report tracks each one against the baseline.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
For the audit, last month's enquiries in any format and 45 minutes with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM, and time for the monthly review.
What if we are not happy with the work?
Tell us and the plan changes. Every month is reported against the baseline, so a number that is not moving is visible to both sides. Terms run three to six months at a time, and the refund and cancellation policy sets out the rest.
