CRM, lead flow and sales techniques · Sales reporting and dashboards

Decide who owns each dashboard, who sees it, and when it gets deleted.

Dashboard governance is a short set of rules for who owns each dashboard, who may see or edit it, which filters it carries and when an unused report is removed. It ends in a governance sheet that keeps your dashboards in use and your sensitive numbers with the right people.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

In one paragraph

Dashboard governance is a short set of rules for who owns each dashboard, who may see or edit it, which filters it carries and when an unused report is removed. It ends in a governance sheet that keeps your dashboards in use and your sensitive numbers with the right people.

A paint dealership in Belagavi, run by two brothers and a nephew, builds a sales dashboard in the CRM. Within six months there are forty reports, three named Sales summary, and a screen showing every rep's incentive to the whole counter staff. Nobody removed anything, and nobody decided who could see what.

Governance is that decision, made once and written down. One person, the administrator, holds the register of dashboards. The owner signs who may view and who may edit, and the sales head agrees the standard filters.

It replaces the default of every login seeing everything. It comes after the dashboard is designed, and its value shows in the second year, when the clean-up rule keeps the library small enough to use.

The work

What this is actually like.

  • “Who in the family sees what”

In a family business, margins, rep incentives and the full customer list with phone numbers are the touchy figures. Decide by role, not by seniority or relationship: a rep sees their own pipeline, a manager sees the team, the owner sees margins.

  • “Three reports named the same thing”

Without a naming rule, search returns Sales summary, Sales summary new and Sales summary final. Use a pattern, team then subject then period, and one default dashboard per team, so people stop building their own.

  • “Unused reports are not harmless”

Each stale report is a place for an old definition to live. Count the reports in the library and the ones nobody opened in 90 days, then archive them. The count itself, before and after, is the evidence the rule works.

  • “A leaving rep takes the pipeline with them”

When a rep resigns, remove access the same day and move their records to a named person. Contact data privacy rules differ by state and change, so check what you may keep and share with your own lawyer or adviser.

What we do

What you end up with.

The documents this topic produces, what each one is for, and how you know it is finished.

  1. Dashboard register

One row per dashboard: name, owner, audience, who can view, who can edit, standard filters, last opened and whether it is sent on a schedule.

Result: Finished when every dashboard in the CRM appears in the register and has a named owner.

  2. Permission matrix

Roles down the side, dashboards across the top, and view, edit or none in each box. The owner initials it.

Result: Finished when a new joiner's access can be set from the matrix in minutes without asking anyone.

  3. Standard filters and defaults

Date range, owner, team and pipeline on every dashboard, plus one default dashboard for each team and the naming pattern.

Result: Finished when two people opening the same dashboard filtered the same way see the same total.

  4. Clean-up record

The count of reports before, the count unused for 90 days, what was archived and the date of the next review.

Result: Finished when the unused count is zero or each one has a reason to stay.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Who should own the dashboards?
The administrator holds the register, but each dashboard has a business owner who answers for its numbers. When the only owner is the person who built it, a change in their job leaves the dashboard stranded.
Is this overkill for a ten-person firm?
Part of it is. The permission matrix and the owner column are worth having at any size. The clean-up rule matters once you pass a dozen reports.
What if a family member insists on seeing everything?
Put the decision on the sheet and let the owner sign it. A written rule is easier to hold than an argument at the counter, and the person can ask for a summary view.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts. For sales work it is mostly our time, with production only where scripts, decks or CRM setup need it.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time and follow-up are the quickest to show, because the enquiries already exist. Process, CRM and training changes show as the team uses them. Each one is tracked against the baseline.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
To start, last month's enquiries in any format and time with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
