Denting and painting shops · Follow up systems

Never let an estimate go cold because nobody called back.

A follow-up system for a denting and painting shop is the set of messages and calls that keep an estimate, an approval or a finished car from being forgotten. GullySales works on who follows up, at what stage and with what words.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For denting and painting shops

Where it usually goes wrong, and what we would do.

  • “Quotes are given and then left”

An owner who took an estimate and went away may be comparing three shops. A short, polite message asking whether the photographs were clear or a question remains keeps the shop in the conversation without pressure.

  • “Waiting for the insurer feels like silence”

While the surveyor's revision is pending, the owner hears nothing and assumes neglect. A message stating that the approval is awaited, and what the shop is doing meanwhile, turns an anxious silence into a known status.

  • “The car is ready but the owner is not told”

A finished car in the bay costs space, and an owner who learns it was ready days ago becomes irritable. A ready message with a collection time puts the next step with the owner and clears the bay.

  • “After delivery the relationship ends”

A shop that stops at the keys misses the daylight check, the review and the next job. A follow-up asking whether the finish looks right in sunlight catches problems early and invites a fair review.

What we do

What we deliver for denting and painting shops.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. An estimate follow-up sequence

Two short messages after an estimate, written to ask and not to chase.

Result: Every estimate is followed up by a person.

  2. Stage status messages

Received, approved, in paint, ready, sent from the shop's number.

Result: Owners are told at each step.

  3. A ready-for-collection script

A message with the collection window, documents to bring and payment details.

Result: Finished cars leave the bay on a stated day.

  4. A post-delivery check

A message asking about the finish in daylight, and a review link for happy owners.

Result: Any doubt reaches the shop before it reaches a review site.

  5. A follow-up owner and tracker

A named person and a list showing pending follow-ups for the week.

Result: Nothing sits without someone responsible.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Will follow-ups annoy owners?
Not if each message has a clear reason. A status update or a question about the photographs is useful. Repeated sales nudges are not, so we keep the set short.
Can follow-ups go on WhatsApp?
Yes, to owners who have given their number for the job, from the shop's own number. Check the platform's current rules on business messaging.
What if the owner has gone with another shop?
Ask once, politely, what decided it. The answer tells you whether it was price, distance or trust, and goes in the CRM.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
