Car rental companies · Email marketing

Email belongs to the travel desk, WhatsApp belongs to the family.

Email marketing for a car rental business works on the corporate side, carrying rate contracts, monthly trip statements and GST invoices that an admin desk has to file. GullySales builds that list and its sequences, and keeps leisure travellers on WhatsApp, where a trip reminder is actually read.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What email marketing means

Email marketing is sending planned messages to a list of past and prospective customers who have agreed to hear from you. It suits offers, updates and staying in touch with someone who is not ready to buy yet. GullySales writes and schedules these emails and tracks who opens, clicks and enquires.

For car rental companies

Where it usually goes wrong, and what we would do.

  • “Vendor approval happens in an inbox”

A travel desk has to circulate your permits, insurance and verification documents internally, and a WhatsApp forward does not survive that.

  • “A monthly statement is a marketing document”

The mail showing every trip, vehicle and invoice for the month is what keeps a corporate account from going out to tender.

  • “Families do not open email from a cab operator”

Holiday reminders and route offers are read on WhatsApp and ignored in an inbox, so retail belongs there.

What we do

What we deliver for car rental companies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A corporate contact list

Admin heads, travel desks, hotel front offices and planners listed with the person who approves vendors and their review dates.

Result: You are writing to whoever signs.

  2. A rate contract pack sent as documents

Rates, vehicle categories, billing terms, GST details, permits, insurance and driver verification in one attachment set.

Result: Your pack clears vendor approval without chasing.

  3. Trip statements to accounts

A monthly mail listing trips, vehicles, kilometres and invoices for each corporate account.

Result: The account has no reason to look elsewhere.

  4. A renewal and review reminder sequence

Mails timed before each account's vendor review or contract renewal, carrying the year's service record.

Result: You are in front of the desk when the decision is made.

  5. Leisure customers moved to WhatsApp

Past travellers grouped by route and travel month, messaged before the same season next year, with consent recorded.

Result: Last year's family books directly this year.

How the result is measured

  • Open rate
  • Click rate
  • Enquiries from email

Recorded as a baseline before work starts, so every later report has an honest comparison.

What must be in place first

What a car rental company needs in place before it emails a travel desk or admin team.

The travel desk and the approver for each company
Record who books, who approves and who pays. These are often three people. A rate contract sent to the booker alone may never reach the person who signs.
A rate contract that lists the terms in full
State vehicle types, kilometre and hour limits, night charges, waiting charges and how toll and parking are billed. A contract that leaves these out causes disputes at the first invoice.
Trip statements that match the GST invoice
Each statement should list the trips, vehicle numbers, dates and amounts so the admin desk can match it to the GST invoice. Mismatches delay payment more than the rate does.
Papers ready to send on request
Keep your permit details, insurance validity and driver verification papers in one folder. Corporate buyers often ask for them at onboarding, and a quick reply with the folder shows you are organised.
Individual travellers on confirmation mail only
A family or an employee who booked a trip receives a confirmation and a pickup note. Do not add their address to a promotional list unless they agreed.
Replies to a person on duty
A booking question from a travel desk should reach someone who can confirm a vehicle. Add an unsubscribe line, and drop contacts who have left their company.

Who it is for

This is written for these car rental companies.

  • Outstation cab and chauffeur-driven car operators
  • Airport transfer and city taxi services
  • Self-drive car rental companies
  • Tempo traveller and mini-bus rental operators
  • Luxury and wedding car rental services
  • Corporate car rental and employee transport providers
  • Long-term car leasing and subscription providers
  • Tour operators with their own fleet
  • Travel agents who arrange cabs through partner fleets

Not for

It is not the right fit if.

  • The company has no named contact at any travel desk or admin office, so an emailed offer would go to a general address.
  • Corporate trips are not invoiced against a booking record, so a statement by email would disagree with the company's books.

How it works

How the email marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Understand your list

We review who is on the list, how they got there, what they agreed to, and how long since they last heard from you.

  2. 2

    Audit past sends

We read past campaign reports, your sending domain settings and any spam complaints to see what has and has not worked.

  3. 3

    Segment and plan

The list is split into groups and a sending calendar is agreed, with a rule for unsubscribes and quiet addresses.

  4. 4

    Write and set up

Emails are written, checked and scheduled in your email tool. Welcome and nurture emails are set to send on a trigger where that fits.

  5. 5

    Measure and adjust

We read clicks, replies, enquiries and complaints by segment, and change subject lines, timing and content to match.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Do travel desks read supplier email?
They read contracts, invoices and statements. A subject line naming their company and the month gets opened. A general offer mail from a cab operator does not.
Should trip reminders to families go by email?
No. Send them on WhatsApp with consent, where they are read the same day. Keep email for anything a customer needs as a record, such as an invoice or a receipt.
Who at a company should get our email, the travel desk or the admin head?
Both, for different things. The travel desk needs rates, vehicle types and booking steps. The admin head signs the contract and wants terms, papers and invoices. Ask which one each company prefers, and note it on the account.
Can we put a driver's name and number in a confirmation email?
Yes, to the person travelling, shortly before the trip, since they need it for pickup. Do not put it on a list mail or a rate contract. Tell drivers that their details go to customers, and keep the confirmation to the booker.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
