Car rental companies · WhatsApp marketing

Make the WhatsApp quote the page where the booking is won.

WhatsApp marketing for a car rental company covers the quote, the confirmation and the reminder, because that is where travellers in India ask for prices and agree to book. GullySales sets up a business profile, a catalogue of vehicles and saved replies, and keeps broadcasts to people who agreed to receive them.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

For car rental companies

Where it usually goes wrong, and what we would do.

  • “The first message is a question about a route”

The traveller writes the destination and a date, and expects a price back. The operator who replies with a priced quote, a vehicle photograph and a clear next step is the one who gets the advance.

  • “Quotes are screenshotted and forwarded”

A family organiser sends your quote to relatives and to a rival operator for comparison. A neat, itemised message holds up when forwarded; a scrawled figure with no inclusions starts an argument.

  • “A broadcast to everyone is read as spam”

Sending a festival offer to every saved number reaches people who never travelled with you, and some will block the number. A message to past customers on a route, in its own season, is read.

  • “Photographs and live location settle the pickup”

A clear picture of the vehicle and number plate, and the driver's name before the trip, remove the calls asking where the car is. Both belong in the confirmation message.

What we do

What we deliver for car rental companies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A business profile for the operator

Name, address, hours, services and a link to the booking page set up on the WhatsApp Business app.

Result: A new customer sees a real operator, not a personal number.

  2. A catalogue of vehicles

Each vehicle type with photographs, seating, luggage space and what a quote includes, shown inside the chat.

Result: A traveller picks a vehicle without asking for pictures.

  3. Saved replies for common routes

Quick replies that carry the route, the rate structure, driver bata, tolls and night charges, with a prompt for the five details needed.

Result: A late-evening enquiry gets a full quote in one tap.

  4. Labels for stage and source

Labels such as new enquiry, quoted, advance received and travelled, with the source of each chat marked.

Result: The inbox shows what needs attention.

  5. A consent routine for broadcasts

A way of recording that a past traveller agreed to receive trip reminders, and a rule that no one is added to a broadcast list without it.

Result: Reminders reach people who asked for them.

  6. Confirmation and trip-day messages

A confirmation with vehicle, plate number and driver name, and a day-before note with the pickup time and address.

Result: The morning of travel needs fewer phone calls.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

The messages that move a car rental enquiry to a booking on WhatsApp.

Route, date and passengers on first reply
Ask for these three details in one message so the quote carries the right vehicle. Without them the customer receives a vague range.
Itemised quote card
Send a single message with kilometres, driver bata, tolls, parking and night charges listed, so a screenshot forwarded to the family answers every question.
Photographs of the actual vehicle
Send the interior and the luggage space of the car being offered, not a brochure image, before the customer asks for them.
Live location on the pick-up day
Share the driver's location link when the car leaves, so the customer at the airport or the apartment gate is not left phoning.
Opt-in note for offers
Record who agreed to hear about festival-season cars. Message only those customers, and give them an easy way to ask you to stop.

Who it is for

This is written for these car rental companies.

  • Outstation cab and chauffeur-driven car operators
  • Airport transfer and city taxi services
  • Self-drive car rental companies
  • Tempo traveller and mini-bus rental operators
  • Luxury and wedding car rental services
  • Corporate car rental and employee transport providers
  • Long-term car leasing and subscription providers
  • Tour operators with their own fleet
  • Travel agents who arrange cabs through partner fleets

Not for

It is not the right fit if.

  • You have one phone number shared by drivers and the office, so a customer message can reach the wrong person.
  • You have no price structure written down yet, and a chat would spend its time on a new figure for each customer.

How it works

How the whatsapp marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

Read the chats you already have

We read how customers write to you, which questions repeat and where a chat goes quiet. The repeated questions decide what gets automated first.

  2. 2

Sort the list and the permission

Contacts who asked to hear from you are separated from numbers that only sit in a phone book. We agree the wording new contacts will see before they say yes.

  3. 3

Choose the app or the API

One phone and a small team can stay on the ordinary app. Several people on one number, templates or a CRM link need the API through a provider, which is its own piece of setup work.

  4. 4

Write the replies and the plan

The greeting, away message, saved replies and handover rule are written in your words and approved by you. The message plan and its templates follow.

  5. 5

    Connect the record and test

Each link carries its source line and each chat lands in the CRM. We test on real phones, including a customer who asks for a person.

  6. 6

    Read the unanswered questions

A question the first reply could not answer becomes a new saved reply or a fixed handover. Stop requests are watched too, with the number's quality rating where the API is used, since both show a message plan that has gone too far.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Should we use the WhatsApp Business app or the API?
A small fleet with one or two people replying is well served by the Business app. The API suits larger operators needing several agents on one number and automated confirmations. Check the platform's current rules and charges before choosing.
Can we message customers who booked through an aggregator?
Only with care. Use the details the traveller shared with you and check the portal's own terms. The safer route is to give the traveller your number during the trip and let them contact you, then continue the chat once they have.
How do we keep drivers from taking customers away on their own numbers?
Keep customer chats on the business number and give drivers only the trip details. Agree in writing that customers of the company stay customers of the company. Review who has access to the inbox whenever a driver leaves.
Can drivers answer customers directly on WhatsApp?
Keep quotes and payments with the office number and let drivers handle the trip itself. A driver who quotes alone gives different figures to different customers, and a customer who has the driver's number can book around you next time.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
