Universities · WhatsApp marketing

Answer applicants and parents on the app they already use to ask questions.

WhatsApp marketing for a university means using the business account for admissions replies, document reminders and event invitations, with consent and a named person behind each message. GullySales sets up the account, the message templates and the hand-off to the admissions desk.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

For universities

Where it usually goes wrong, and what we would do.

  • “Parents message a staff member's personal number”

An enquiry goes to a coordinator's own phone and disappears when they are on leave or move on. No other person can see what the family was told.

  • “Group broadcasts reach people who never asked”

Adding applicants to a group without consent draws complaints and exits. The platform may limit or block the number, and the university loses its main admissions line in the busiest weeks.

  • “The same questions are typed again and again”

Fee instalment dates, hostel rules and document lists get retyped for every parent. A saved answer set would give consistent replies and free the coordinator for harder questions.

  • “A chat is not a record”

Promises about a seat, a fee waiver or a date made on a chat remain on one phone. When a dispute arises later, the university cannot show what was said or who said it.

What we do

What we deliver for universities.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Business account setup

A WhatsApp Business account for the admissions office with a verified profile, working hours and a catalogue of programmes.

Result: Families message one official number.

  2. Approved message templates

Templates for acknowledgement, document reminders, fee dates and event invitations, written in plain English and the local language.

Result: Routine messages are consistent and checked.

  3. Consent and opt-out process

A way to record that an applicant agreed to be messaged, and a clear way to stop, stored against their record.

Result: Every contact has a note of consent.

  4. Hand-off to the CRM

Each conversation logged against the applicant's record, with the staff member who replied.

Result: Promises made on chat can be traced.

  5. Quick-reply library

A set of saved answers for the common questions, approved by the registrar and updated each cycle.

Result: Coordinators give the same answer to every parent.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

Who it is for

This is written for these universities.

  • State universities with many affiliated colleges
  • Private universities with a campus and hostel focus
  • Deemed-to-be universities with their own entrance
  • Universities with a dedicated research and PhD focus
  • Universities that recruit international students
  • Universities with strong professional schools such as engineering, law and management
  • Sector-specific universities in health, agriculture, technology or the arts
  • New private universities building their first admissions cycle

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the whatsapp marketing work runs

  1. 1

    Understand current WhatsApp use

We review how customers currently message you and how consistently, if at all, it is answered.

  2. 2

    Audit common questions

We identify the questions that come up repeatedly, which decide what should be automated first.

  3. 3

    Set up automation and templates

An automated first response and quick reply templates are built for the most common needs.

  4. 4

    Connect to the CRM

Conversations are linked to customer records so context carries over between team members.

  5. 5

    Measure and optimise

We track response time and conversion, refining automated responses based on what customers actually ask.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Is WhatsApp allowed for admissions messages?
The platform allows business use with its own rules on consent and templates. Check the platform's current rules before you start, and take advice on data protection and unsolicited messages from your own adviser.
Should we create a group for each batch?
Avoid groups for applicants. They expose phone numbers to strangers and create noise. Use one-to-one messages for individual questions, and a broadcast list only for people who agreed to receive it.
Can one number serve several campuses?
It can, but routing gets harder. A separate number for each large campus or for international admissions works better, as long as each has an owner who checks it every working day.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
