What the counter should write down about every components enquiry, and why.

- Record the company, the person and whether he is in purchase, engineering or stores. The engineer chooses the part, the purchase head chooses the supplier, so you need both.
- Source of the enquiry
- Mark counter, call, email, WhatsApp, directory, tender or referral on the day it arrives. Later this is the only way to tell which source brings orders.
- The part, the quantity and the need-by date
- Write the manufacturer part number, package, quantity and the date the buyer needs it. The date decides which enquiry is answered first.
- Status of each quoted line
- Mark each line as in stock, sourced, quoted or cannot supply, with the price date. A BOM is rarely won or lost whole, so the record has to work by line.
- Outcome and reason
- Note ordered, lost or no reply, with a one-line reason such as price, date, stock or brand required. Without it, every loss looks the same.
- Do you need software yet?
- A shared sheet is enough while one or two people take most enquiries. Move to a CRM when two people have quoted the same buyer without knowing, or the sheet is no longer kept.
