Retirement planning firms · Follow up systems

Follow up the six who stayed behind, and the daughter who has not yet replied.

A follow-up system for a retirement planning firm is the routine that turns an employer session, a first meeting or a family enquiry into a next conversation. GullySales writes the messages and sets the record so nobody is forgotten.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For retirement planning firms

Where it usually goes wrong, and what we would do.

  • “The people who matter speak last”

After an employer talk, the few who linger to ask a question are the real enquiries. If nobody notes their name and question that day, the planner has the memory of a room and no way to reach them.

  • “A first meeting that ends without a next step fades”

The retiree leaves with a lot to think about and no reason to call back. A one-page summary and a stated next step, sent the same day, keep the conversation alive without pressing for a decision.

  • “Silence from the child is not refusal”

A daughter abroad is busy and in another time zone. A gentle reminder that offers a call at a time that suits the family is received better than a second pitch, and keeps the door open for the parent.

What we do

What we deliver for retirement planning firms.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A same-day note after every employer session

A short message to attendees who left a name, thanking them and answering the question they asked, sent through the HR team where required.

Result: Each person who asked a question has a written reply.

  2. A summary template for first meetings

A one-page note listing what the client said about income, expenses and worries, with the agreed next step.

Result: The client leaves with a summary and a next step.

  3. A reminder routine for family contacts

Short messages for the adult child that offer a call and restate what the parent has agreed to share.

Result: The family contact is never left guessing.

  4. A decision-date reminder for clients

A message sent ahead of a pension option or provident fund deadline, checked by your adviser.

Result: Clients hear from you before a date, not after it.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How soon should we reply to an enquiry?
Reply as soon as the planner can, and say plainly when the planner will call. GullySales does not set a number, because the right pace depends on your team, but an unanswered enquiry loses trust at once.
When do reminders become too much?
Stop at a polite second message unless the person replies. A retiree who feels chased will not return. Ask at the first meeting how they prefer to be contacted, and record the answer.
Can reminders be automatic?
Reminders about appointments and documents can. A message that touches advice or a decision should come from the planner, in their own words, and your adviser should review the template.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
