Dermatology clinics · Buyer journey

Map the months between the first tube from the medical store and the sixth sitting.

The buyer journey for a dermatology clinic is the path from noticing a patch, a scar or thinning hair to paying for a course of sittings. Most of it happens before anyone contacts you. GullySales maps where your patients actually stop, and puts something useful at each of those points.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What buyer journey means

The buyer journey is the sequence of steps a customer actually takes, from first hearing about you to deciding to buy, which is rarely a single visit or call. GullySales maps this sequence for your business and checks that something useful happens at each step instead of only at the final call.

For dermatology clinics

Where it usually goes wrong, and what we would do.

  • “The medical store and a cousin's old prescription come first”

By the time somebody searches for a dermatologist, they have already tried a tube bought over the counter and a cream a relative was once prescribed. They arrive having failed twice, and the consultation has to answer that before it can recommend anything.

  • “An infected boil and a bridal laser package are two different journeys”

The boil is booked the same day and never compared. Laser hair removal before a wedding is planned backwards from the date, priced at three clinics, and often decided with whoever is paying for the wedding.

  • “The drop is at the course quote, not at the consultation”

A patient accepts the diagnosis, hears that it is six sittings and what the whole course costs, and says they will check their dates. Most cosmetic revenue is lost in that minute, not in the enquiry before it.

What we do

What we deliver for dermatology clinics.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. One medical and one cosmetic journey drawn out

Two journeys mapped side by side, for example a fungal infection and an acne scar course, because the stages and the stalling points are nothing like each other.

Result: You stop treating a same-day patient and a comparison shopper the same way.

  2. The stage written against every enquiry

Each enquiry marked as photo sent, consultation booked, consultation done, course quoted or sittings running, so the desk can see where somebody is stuck.

Result: Nobody has to scroll a chat to work out what happens next.

  3. A written quote for the course, with the sittings on it

The number of sittings, the gap between them and the total put on paper the patient takes home, instead of a figure said across the desk.

Result: The patient compares your clinic on something they can read at home.

  4. The consultation-to-first-sitting gap counted

A count of patients who were quoted a course and never started one, kept separately from enquiries that never reached a consultation.

Result: You can see whether the problem is the marketing or the quote.

  5. Something to say to the patient who wants to think

A held slot, the aftercare sheet and a date to confirm by, so the patient who says they will come back has a small thing to say yes to.

Result: The decision does not have to be made twice from home.

How the result is measured

  • Drop-off rate by step
  • Time from first contact to sale
  • Steps with no content

Recorded as a baseline before work starts, so every later report has an honest comparison.

Stages of the patient's journey

A skin patient goes from noticing a concern to a course of sittings, and most of that route is walked before the clinic is contacted.

Notices a concern
A patch, a scar or thinning hair starts it. Ask at intake what the patient has already tried and from whom, and write it in their words.
Asks around and searches
They try a chemist, a cousin and a search for the concern, not for a doctor. Keep one page per concern you treat, written without promises of results.
Sends a photo or calls
Many first messages carry a photograph. Say plainly that a photo cannot replace an examination, invite a consultation, and keep any photo private and used only for the appointment.
Consultation
The doctor examines and explains the plan. Hand over a written plan listing each sitting and what it involves, as the doctor has advised.
The course quote
The patient compares with another clinic or talks to family. Ask whether anyone else needs to see the quote and note the date they said they would decide.
Sittings and review
The patient returns for the course. Book the next sitting before they leave and record who has missed one, so that you can ask with care.

Who it is for

This is written for these dermatology clinics.

  • Solo dermatologist clinics
  • Multi-doctor dermatology and cosmetology centres
  • Dermatology hospitals with in-patient procedures
  • Cosmetic and aesthetic dermatology clinics
  • Hair transplant and trichology centres
  • Skin and laser clinics inside malls or commercial complexes
  • Paediatric and family dermatology practices
  • Multi-branch dermatology chains

Not for

It is not the right fit if.

  • You have not asked a single patient how they found the clinic, so the stages would be borrowed from another trade
  • The front desk does not record the stage a patient has reached, so a map would not be used
  • You wish to push patients past the consultation to the course, when the doctor may advise a different path

How it works

How the buyer journey work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Understand the sales process

We walk through how a sale happens today, from the person who first answers an enquiry to the one who closes it.

  2. 2

    Audit the data

Website analytics, call logs and CRM records are put together to see where people drop out. Where records are thin, we say so and mark the gap rather than guess.

  3. 3

    Interview buyers and staff

Recent customers, and some who did not buy, plus the team who speak to them, explain the reasons behind the numbers.

  4. 4

    Build the map

Stages, touchpoints, decision-makers and drop-off points are set out in one document everyone reads the same way.

  5. 5

    Fix and measure

Each fix is made against the stage it addresses, and the drop-off at that stage is compared with the baseline afterwards.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 1, prospecting and lead generation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Where do we actually lose the most patients?
Between the consultation and the first sitting of a paid course. The patient accepted what you told them and then went quiet on the money, so the fix sits in how the course is quoted rather than in how the enquiry was answered.
Should medical and cosmetic enquiries be mapped separately?
Yes. An allergy converts in one visit. A pigmentation course is decided over weeks by somebody comparing three clinics. Put both on one journey and the stage where each breaks disappears into an average.
Who else weighs in when a patient decides on a course of treatment?
A parent for a teenager, a spouse for a bridal plan, sometimes a partner paying. Ask whether anyone else should see the written plan, and offer a short call or visit for them. Rules on advertising skin treatments differ by state and body, so check with your own council.
A patient had a consultation and has not booked the first sitting. What now?
One considerate message, with consent, asking if any question about the plan is open is enough. Do not add urgency or discounts. Note the reason if the patient gives one, since cost, fear of the procedure and family opinion look different in your records.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
