Dermatology clinics · Lead generation

Turn a photo sent at midnight into a booked consultation the next morning.

Lead generation for a dermatologist is the work of catching every skin or hair enquiry, whether a call, a form or a photo on WhatsApp, and turning it into a booked consultation. GullySales sets up the WhatsApp routing, the forms and the follow-up that catch these enquiries when they arrive, and records each one against its source.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What lead generation means

Lead generation is the combined work of every channel that brings in a new enquiry, whether from search, adverts, referrals or a stall at an exhibition. GullySales runs these channels together and reports the number of enquiries each one produced, not the activity behind it.

For dermatology clinics

Where it usually goes wrong, and what we would do.

  • “A photo enquiry needs an acknowledgement within minutes, not hours”

A patient who has just sent a picture of a rash or a bald patch is anxious. They will message another clinic quickly if the first reply is generic or delayed.

  • “Cosmetic enquiries need a price range up front”

A patient asking about laser hair removal or fillers wants an approximate cost before they book a consultation. Withholding it loses the enquiry to a clinic that answers directly.

  • “Out-of-hours messages need a holding reply”

A photo sent at midnight should get an automatic acknowledgement confirming it was received, and when a real reply will follow. The patient then does not assume the clinic ignored them.

  • “A referral is a lead too”

A general physician or gynaecologist who sends a patient is a source you can track and thank. Record who referred each patient, with the patient's consent, so the referring doctor hears back.

What we do

What we deliver for dermatology clinics.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Fast-acknowledgement routing for photo enquiries

A routine that sends an immediate acknowledgement the moment a patient's photo arrives on WhatsApp, before the doctor reviews it.

Result: An anxious patient knows their message was received right away.

  2. Price ranges prepared for cosmetic enquiries

An approximate cost range ready to share for treatments such as laser hair removal or fillers, agreed with the clinic in advance.

Result: A patient asking about cost gets a straight answer instead of silence.

  3. Out-of-hours holding message for photo enquiries

An automatic reply confirming a photo sent at night was received, with a stated point at which a real reply will follow.

Result: A patient messaging late does not assume the clinic ignored them.

  4. Enquiry capture form for website and profile

A short form or WhatsApp link on treatment pages and the Business Profile, built to route straight to the front desk.

Result: An interested patient has one clear way to start the conversation.

  5. Report on enquiries by source and reply time

A report on photo, call and form enquiries and how quickly each was answered, against the baseline set before work started.

Result: The clinic can see where an enquiry is arriving and how fast it is met.

How the result is measured

  • Enquiries generated
  • Cost per enquiry
  • Enquiries by source

Recorded as a baseline before work starts, so every later report has an honest comparison.

Where enquiries come from

The places a skin or hair enquiry reaches a dermatology clinic, and what to record at each.

A call to the clinic number
Record the concern in the patient's words, how long it has been there and who the appointment is for. Offer a consultation slot, and leave any advice for the doctor.
A WhatsApp message with a photo
Acknowledge it and keep the photo in the patient file with consent, not on a personal phone. Offer a consultation. Leave the diagnosis and the treatment to the doctor, not the message.
A call from the Google or Practo listing
Record the platform and the concern. Check that the profile shows the doctor's name, qualifications, timings and the treatments the clinic offers.
A referral from a general physician, gynaecologist or paediatrician
Note the referring doctor and the reason, with the patient's consent. Send a brief note back after the consultation, if the patient agrees.
A cosmetic treatment enquiry from an Instagram ad or form
Write the treatment asked for and the area. Ring to confirm the concern and book a consultation, and mark the source as the ad.
A patient returning for a follow-up or a new concern
Link to the earlier file and course. Record whether the visit was due or new, and who suggested it.

Who it is for

This is written for these dermatology clinics.

  • Solo dermatologist clinics
  • Multi-doctor dermatology and cosmetology centres
  • Dermatology hospitals with in-patient procedures
  • Cosmetic and aesthetic dermatology clinics
  • Hair transplant and trichology centres
  • Skin and laser clinics inside malls or commercial complexes
  • Paediatric and family dermatology practices
  • Multi-branch dermatology chains

Not for

It is not the right fit if.

  • No one is rostered to reply to a photo enquiry at the hours patients send them, so more enquiries would sit unanswered
  • You cannot yet tell a cosmetic enquiry from a medical one at the desk, so both would reach the same doctor
  • You expect an exact number of new patients to be promised, which no honest agency can do

How it works

How the lead generation work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Understand your capacity

We ask how many enquiries your team can answer well, who answers after hours, and what a good enquiry looks like. Without this, the system fills a funnel nobody is watching.

  2. 2

    Audit current sources

We read your call log, WhatsApp chats, enquiry sheet and platform dashboards. The baseline is recorded: enquiries by source, reply time, conversion and cost per order.

  3. 3

    Strategise the channel mix

Search and maps are chosen for people ready to buy, ads for people who are not yet looking, and content and referrals for trust.

  4. 4

    Implement capture and follow-up

Pages, forms, tags, the lead record and the first-reply message are built and tested end to end. We submit test enquiries ourselves before any media money is spent.

  5. 5

    Measure and optimise

Enquiries are traced to source and judged by what became orders, not by volume alone. Channels that fill the sheet with poor enquiries are cut back. How often you are reported to is agreed in writing.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 1, prospecting and lead generation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Where do leads for a dermatology clinic come from?
Calls, WhatsApp messages with a photo, the Google listing, referrals from other doctors, forms and ads. The mix differs from clinic to clinic, so the first job is to record the source of every enquiry. Then you can see which source brings patients who attend.
Do we need to run ads for skin and hair enquiries?
Not for every concern. A strong Google Business Profile captures much of the search for medical concerns such as eczema or fungal infection. Ads earn their cost on cosmetic procedures, where clinics compete for the same clicks.
A patient sent a photo and wants a price. What should the reply say?
Say that the doctor needs to see the patient before advising, and offer a consultation slot. If the clinic has a standard consultation fee, share only that. Quoting a treatment price from a photograph can mislead, and the treatment is the doctor's decision.
How do we separate a patient from someone comparing clinics on price?
Ask the concern, how long it has been there and whether they have seen a doctor before. A patient answers these in detail. Someone who asks only the price gets the consultation fee and an invitation, and the patient's call goes first.
What should the first WhatsApp reply to a skin enquiry say?
Thank the patient, confirm the message arrived, ask the concern and how long it has been there, and offer a consultation slot. Say that the doctor decides treatment after examination. Keep it short, because an anxious patient reads the first line and decides.
Can we send before-and-after photographs when a patient asks for results?
Check this with your own council and adviser before you do. The rules on how a doctor may show results are strict, and a photograph sent to a prospective patient may count as advertising. A safer reply describes the consultation and what the doctor examines, then offers a slot.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
