Physiotherapy clinics · Reputation management

Manage what a patient reads about outcomes before they commit to a course.

Reputation management for a physio clinic means watching and replying to reviews about pain relief, therapist manner and how a full course went. A new patient reads those before committing to several weeks of sessions. GullySales sets up monitoring and a careful reply process.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What reputation management means

Reputation management is watching what is said about your business across Google, social media and review sites, and responding to it before it changes a buyer's mind. GullySales monitors mentions, drafts responses to negative reviews and flags recurring complaints back to your team.

Last updated 5 Oct 2026. Rules for this trade differ by state and professional body, and they change. We describe restrictions in general terms, so check the current position with your own council or adviser before you publish anything.

For physiotherapy clinics

Where it usually goes wrong, and what we would do.

  • “A review about slow progress needs a specific, honest reply”

Responding with the actual factors that affect recovery time reassures other readers more than a generic apology.

  • “Therapist-specific reviews matter for multi-therapist clinics”

A patient often searches for reviews of a specific therapist, not just the clinic, especially for a specialised condition.

  • “Consistency across review platforms builds more trust than volume alone”

A clinic with steady, recent reviews across two platforms reads as more reliable than one with many old reviews on just one.

What we do

What we deliver for physiotherapy clinics.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Review monitoring across platforms

A routine tracking Google and other review platforms so a comment on pain relief or therapist manner never goes unanswered.

Result: A concern raised in a review gets a reply before the next patient reads it.

  2. Honest reply drafts for slow-progress reviews

Written responses explaining the real factors that affect recovery timelines, ready to personalise.

Result: A concerned reader sees a thoughtful answer, not a defensive one.

  3. Therapist-specific review tracking

A way to see reviews mentioning a specific therapist, useful for multi-therapist clinics.

Result: A patient searching for a named therapist finds a fair, current picture.

  4. Post-completion review request

A timed request sent to a patient once their course is finished, not partway through.

Result: The rating reflects patients who saw their treatment through to the end.

How the result is measured

  • Average rating
  • Response time to reviews
  • Negative mentions resolved

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to do with each review

How to answer a patient's review without sharing any detail of their treatment.

Praise from a patient
Thank them in general terms and do not name the injury or the recovery. Check the council's rules on advertising before you reuse a review, since outcome claims are restricted.
Complaint about slow recovery
Reply that recovery differs from person to person and that you would like to speak. In the follow-up, go through the assessment notes and the home exercise plan. Do not discuss the case in public.
Complaint about the number of sessions or fees
Reply that the package and the fee were explained at the first visit, and offer a call. Check that the first assessment note recorded the plan, so the number of sessions is not a surprise.
Complaint about pain during a session
Say sorry and invite them to talk to the physiotherapist who treated them. Review the session note, and check that the patient was asked about pain and comfort during the session.
Home-visit or appointment delay
Own the delay, say what happened, and name who will call. Check the booking sheet and the therapist's travel time. For home visits, tell patients a time window instead of a fixed time.
Review that looks fake or from a rival clinic
Match the name against your patient list. If nothing matches, report it through the platform's own process and reply once, saying you cannot find the person on the records.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the reputation management work runs

  1. 1

    Understand current perception

We start by actually searching your business name and reviewing what a stranger would currently see.

  2. 2

    Audit existing mentions

We catalogue reviews, mentions and search results, flagging anything negative or inaccurate.

  3. 3

    Plan responses

A calm, factual response is prepared for anything that needs one, agreed with you before posting.

  4. 4

    Implement monitoring

Ongoing checks are set up so new mentions are caught promptly rather than discovered by accident.

  5. 5

    Measure and report

Sentiment and response times are reported, with your business name searched again to see what has moved.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How do we respond to a review about slow recovery?
Acknowledge the concern, explain honestly what affects recovery timelines, and invite them to discuss it directly.
Should we ask for reviews mid-course or after completion?
After completion, when the patient has the full outcome to reflect on, works better than asking too early.
Can we share a patient's thank-you message on Instagram?
Check your council's rules and the platform's rules, since advertising by health professionals is restricted and differs by state. Do not post anything that shows a recovery or a result. If it is allowed, get written consent and remove names and photographs.
A patient who stopped treatment early posted that it did not work. What do we say?
Reply briefly that treatment plans work when completed, and invite them to speak. Do not suggest blame. Check the notes to see whether they were told about the plan and the risk of stopping early. Use that learning at the first visit for others.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
