Gate, grill and fencing fabricators · Follow up systems

The owner said he would ask his brother. Somebody has to call on Saturday.

A follow-up system for a gate, grill and fencing fabricator is the routine that tells you who calls after each visit and quote, on what channel and what to say. GullySales builds it into the enquiry register so no quote sits quiet until the owner chooses another workshop.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For gate, grill and fencing fabricators

Where it usually goes wrong, and what we would do.

  • “The quote is sent and the workshop goes back to welding”

The supervisor is on a ladder at another site. The owner is comparing three quotes and hears nothing from the one workshop that did not ask.

  • “Silence is read as lack of interest”

An owner who gets no call after the visit assumes the workshop is busy and moves on to the one that rang.

  • “No one knows who is meant to call”

When the owner, the supervisor and the office staff each assume the other will ring, nobody does.

What we do

What we deliver for gate, grill and fencing fabricators.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A follow-up owner for every quote

A named person responsible for each quote, written in the register beside the date it was sent.

Result: No quote is left without someone responsible.

  2. A call and message plan for each situation

Short scripts for an unanswered enquiry, a quote sent, a visit done and a no reply.

Result: The person calling knows what to say.

  3. A register of next actions

Each enquiry with its next call date, so a morning check shows who must be rung today.

Result: Follow-up depends on a list, not on memory.

  4. A routine for lost orders

A polite question to the owner who chose another workshop, with the reason recorded.

Result: You learn whether you lose on rate, finish or delay.

  5. A repeat contact before the monsoon

A message to past owners offering a rust check, with the reply logged against their record.

Result: Old customers become repeat work.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

Follow-up routine for this trade

Here is what the workshop does next for each kind of enquiry that has not yet become a work order.

Photograph and price message, no reply to your questions
The person on the desk sends the questions again in a short voice or text message, and offers a measurement slot. Record the enquiry as open and the date of the next try.
Measurement done, quote not yet sent
The supervisor who measured sends the quote the same evening, with the material named. Record the date sent and call the next day to ask whether the numbers are clear.
Quote sent, no answer
Call, and ask whether the family has questions on finish or fixing. Offer to show a gate fitted nearby. Write what they said and the date for the next contact.
I will discuss it with my brother
Ask who else will decide and offer to speak to him or send the quote to the family group. Note the name and set a day to call again.
After fitting
Call after the gate is fitted to ask whether it closes properly and whether the finish is as agreed. Log any snag and send the review link once it is closed.
A past customer before the rains
Send a message offering a rust check and a repaint. Record who replied, what was done and whether it became a paid job.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the follow up systems work runs

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How many times can we call before it feels like pestering?
Call after the visit, send the quote and ask on a set day whether he has questions. Then wait for his reply. A person who has heard from you twice with something useful will not mind a third. After that, ask whether to keep the quote open.
Who should do the follow-up, the owner or an office staff member?
Whoever visited the site should make the first call, because the owner remembers him. An office person can handle later reminders and the register. Write the name against each quote so nothing is left to chance.
Is a WhatsApp reminder enough, or should we call?
Send a message first with the quote and a line asking whether he has questions, then phone. Many owners answer a message in the evening. A call suits a larger order or a builder, and a message suits a window grill.
What should we do with an owner who says no?
Thank him, ask the reason in one line and record it. Note whether it was rate, design, delay or another workshop. Keep the contact for the monsoon reminder. Do not push, since his brother may order next year.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
