Swimming pool builders and maintenance companies · Follow up systems

Most pool quotes are not lost. They are left in a folder.

A follow-up system for a pool builder is the written routine for who calls whom after an enquiry, a site visit, a quote and a handover. GullySales builds the routine, the reminders and the record so no open quote depends on memory.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

For swimming pool builders and maintenance companies

Where it usually goes wrong, and what we would do.

  • “The visit is done and the quote is promised for Friday”

The engineer returns to the office with measurements and takes days on the drawing. The owner has by then spoken to two other firms.

  • “The owner says the plot is not ready”

The villa is still under construction and the owner wants a pool next year. Without a note and a date, that buyer is forgotten and later buys from a firm that stayed in touch.

  • “Maintenance renewals have no owner”

The contract ends on a date in a register. Nobody is told to call, so the client is lost without anyone deciding to lose them.

What we do

What we deliver for swimming pool builders and maintenance companies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. An enquiry record for every call

A sheet or CRM entry for each enquiry showing locality, plot size, pool type wanted, source and who owns the next step.

Result: No enquiry depends on someone remembering it.

  2. A first-reply routine

Wording for the phone and for WhatsApp, a rule on who replies and a slot for the site visit proposed in the first message.

Result: The first reply moves the enquiry forward.

  3. Quote follow-up steps

A call after the quote is sent, a message with a project album and a call to the architect if the owner agrees.

Result: An owner who is comparing hears from you again.

  4. A list for buyers who are not ready

Owners whose plot is under construction, with a date to call and a note on what they said.

Result: Next year's pools are already on a list.

  5. Handover and first-month calls

A call after the first filling and again after the first rains, with a record of any fault.

Result: Small problems come to you before they come to a review.

  6. A renewal and lapsed-client call list

Every maintenance contract with its end date, a call set before it and a call for those who did not renew.

Result: Lapsed clients are asked back.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

Follow-up routine for this trade

What happens after each situation in a pool sale, who does it and what gets written down.

A call or WhatsApp that nobody has answered
The owner of new enquiries replies the same day by phone or message, asks the locality and plot size, proposes a visit and writes the outcome against the enquiry.
Site visited, quote not yet sent
The engineer sends measurements to the office on the day. The sales person tells the owner when the quote will reach them and records the date promised.
Quote sent, no reply
Call a few days later with one useful point, such as the project album or a revised option. Ask who else must approve, and log the answer.
I will check with my architect
Offer to speak to the architect with the owner's leave. Send the scope sheet to the architect and note the name and number.
Plot or villa not ready yet
Move the owner to a list with a call date, a note on what stage the construction is at and what they wanted. Message them when the date comes.
After handover and at contract end
Call after the first filling and after the first rains. Ring each maintenance client before the contract ends and record whether they renewed and why.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the follow up systems work runs

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Will calling again irritate an owner?
Not if each call has a reason, such as a revised drawing or an answer to something they asked. Calling only to ask whether they have decided irritates. Offer a fact on each contact, and let the owner say when to stop.
Who owns follow-up, the engineer or the sales person?
One named person owns the open quote, whoever does the site work. The engineer provides the numbers. If the owner of the follow-up is not named, each assumes the other is calling.
How do we use WhatsApp for follow-up?
To send the drawing, the album and a short question, to people who have already messaged you. Keep it to one message with one point. A long reminder reads as a chaser.
When do we stop chasing a quote?
When the owner says no, when the project is clearly dead, or after a final message that offers to keep the drawing for later. Mark the reason in the record and move the name to the not-ready list, if that is what it is.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
