Hotels · Follow up systems
The wedding date is your deadline, so work the follow-up backwards from it.
Follow-up at a hotel is the chasing after the site visit, the quote and the enquiry that went quiet: a family comparing three halls, a travel desk waiting on a budget, a booking abandoned halfway through. GullySales writes the schedule, the wording and the point at which you stop.
Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means
A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For hotels
Where it usually goes wrong, and what we would do.
“A banquet enquiry has a deadline you can see”
The function date is known, so contacts are planned backwards from it and stop when it passes. Nobody has to guess whether the family is still deciding.
“A follow-up has to carry something new”
The revised menu, the hall laid out the way they asked, the parking answer they raised on the visit. Just checking loses to the venue that sent a changed quote.
“A corporate enquiry goes quiet for an internal reason”
The travel desk is waiting on a budget sign-off or a policy review, not on your price. Ask when that happens and time the next call to it.
What we do
What we deliver for hotels.
Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.
A banquet follow-up schedule keyed to the function date
Contacts planned backwards from the wedding or the conference, each carrying something new, ending when the date passes.
Result: Nobody chases a family that booked somewhere else a fortnight ago.
The revised quote used as the follow-up
An itemised quote reissued with the change the family asked for on their visit, sent instead of a message that only asks for a decision.
Result: Your second contact gives them a reason to reply.
Site visit chasing
A routine for the enquiry that asked about the hall and never came, offering two named dates rather than an open invitation.
Result: Enquiries turn into visits instead of drifting.
Abandoned booking recovery on your own site
A message to the guest who entered dates and stopped, with the rate held and the reason they stopped asked directly.
Result: A booking you nearly had gets finished rather than lost to a listing.
Corporate follow-up timed to their calendar
The budget cycle and the policy review date asked for at the first meeting, with contacts set against those rather than against your own week.
Result: You ring the travel desk when they can actually decide.
A written stop rule with reason codes
How many attempts on which channel, and the note that closes an enquiry as lost with the reason recorded against it.
Result: Your enquiry list stays honest about what is still live.
How the result is measured
- Follow-up completion rate
- Average number of follow-ups before close
- Enquiries closed after repeat follow-up
Recorded as a baseline before work starts, so every later report has an honest comparison.
Follow-up routine for this trade
Here is what the sales desk does next for each kind of quiet enquiry.
- Banquet enquiry, no site visit
- Offer two dates for a hall visit and ask for the guest count and the function date. Write the date and the family member who will attend.
- Hall visit done, no booking
- Send the quote with the layout and menu options that were discussed. Ask what the family is comparing it with, and note the other venues named.
- Corporate travel desk waiting on rates
- Send the rate sheet to the person who raised it. Ask when the travel budget is set for the next period and note that date.
- Booking left unfinished on your site
- Message or ring the guest if a number was left, and offer to complete the booking. Note whether the room type or price stopped the booking.
- Wedding or conference lost
- Ask what decided it, such as price, location or availability. Write the answer and add the contact to a list for the next season.
- Event completed
- Call the host the next day to ask how the event went and to record any complaint. Note the names of people who attended and who might need a venue.
Who it is for
This is written for these hotels.
- Business and transit hotels
- Boutique and heritage properties
- Resort and destination hotels
- Budget and mid-market chains
- Banquet and wedding-focused properties
- Serviced apartments and long-stay properties
Not for
It is not the right fit if.
- You have no banquet enquiry sheet with the event date, so a follow-up could not be timed against the deadline
- Nobody is responsible for the corporate rate agreements, and a reminder would reach no one
- Your team has no new fact to send with each follow-up, such as a hall visit slot or a menu, and a repeat of the quote only irritates
How it works
How the follow up systems work runs
The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.
- 1
Measure today's reply time
From your recent enquiries, we set the time each arrived against its first reply, using the call log, chats, form entries and portal panel. We also count the follow-ups each one got.
- 2
Agree targets and the sequence
We set reply targets and the follow-up sequence with your team, based on its real hours and workload.
- 3
Write the templates and first-call questions
The first reply, the quote follow-up and the last attempt are written in your voice and loaded as quick replies. The first-call questions are agreed with your best salesperson.
- 4
Set ownership, tasks and alerts
Named owners, cover for leave and CRM or sheet tasks go live. App alerts, such as IndiaMART's, are switched on for the right phones.
- 5
Track and adjust
Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept. How often you are reported to is agreed in writing.
Proof
What happened when owners fixed this.
Real clients, the work we did, and the result as it was recorded. Where no number was recorded, none is claimed.

Where this fits
Three pieces of sales work, in this order.
This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.
Step 1
Sales audit
Find where deals are being lost and what to fix first.
Start here if you cannot say where orders are lost.
Step 2 · you are here
Sales process design
One written way to sell, from first enquiry to repeat order.
Start here if every salesperson sells differently.
Step 3
Sales management
A target, a review routine and someone who owns the number.
Start here if the team has targets and no routine.
