Coffee roasters and tea traders · Manufacturing

Get your beans and leaf into the cafes, offices and kitchens that reorder.

A cafe owner in Indiranagar asks three roasters for 250 gram samples and brews all three on the same machine on Monday morning. The roaster who sent a clear price list, a roast date on the pack and a WhatsApp number that answers wins the first order. The others are still waiting for the courier to be picked up.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

Coffee beans, a press and cups arranged for a product presentation

In one paragraph

A coffee roaster or tea trader buys green coffee or tea leaf, roasts, blends and packs it, and sells it to cafes, hotels, offices, gift buyers and homes. Marketing makes the cup and the pack findable; sales turns a sample into a standing reorder. GullySales builds the sample, price list and follow-up routine around how your buyers actually choose.

Tea works the same way from Kolkata's Burrabazar to a blender in Coonoor. The buyer wants to taste before buying and compares three quotes by the kilo. After that the order repeats until a cheaper blend turns up. The business is won on samples, reorders and being easy to find when the buyer's regular supplier lets them down.

How buyers decide

How coffee roasters and tea traders are chosen.

Cafes, restaurants and hotels buy on the cup. They ask for samples, brew them against their current supply and then ask about price per kilo, grind, pack size and whether you can deliver every fortnight without a minimum that blocks them. A roaster that can talk about estate, altitude and roast level in plain words is trusted over one that only sends a rate card.

Offices, co-working spaces and vending buyers choose on consistency and a person to call. Homes and gift buyers choose on a pack they can read, a roast or flush date and reviews, mostly through Instagram, a marketplace listing or a WhatsApp message from a friend. Bulk tea buyers, packers and exporters ask for the garden, the grade and the auction or private sale it came from before they ask for the price.

The problem

What usually goes wrong for coffee roasters and tea traders.

What owners tell us on the first call, in their words.

  • “Samples go out and nobody follows up”

A cafe gets a sample box, brews it once and moves on. Without a call or a message on the right day, the sample is just free coffee.

  • “Buyers compare on price per kilo alone”

When the pack tells nothing about the estate, roast date or grind, the cheaper roaster wins. The buyer has no reason to pay more.

  • “Reorders depend on the owner remembering”

Cafes run out on a Saturday and call whoever answers first. If your reorder reminder lives in a notebook, a rival's WhatsApp reaches them before your van does.

  • “Retail packs sit unseen on one shelf”

A good roast on a single gourmet-store shelf in one city is not a business. Online listings and gift packs need photographs, reviews and a clear reorder route.

  • “Hotel and corporate buyers want paperwork first”

FSSAI details, batch information and GST invoicing are asked for before a tasting is even booked, and a missing document stalls a good lead.

  • “Festive and gifting seasons come and go unprepared”

Diwali hampers and corporate gifting orders are placed weeks ahead. A roaster who starts talking in October has already lost them to someone who started in August.

What we do

What we do for coffee roasters and tea traders.

Everything included for coffee roasters and tea traders.

  1. A sample-to-order routine

Every sample sent is logged with the buyer, the product and the date. The follow-up message, call and second sample are set against that record.

  2. A price list buyers can read

A one-page WhatsApp and PDF price list per buyer type: cafes, offices, retailers and bulk tea. Pack sizes, grind options and delivery terms sit on the same page.

  3. Origin and roast story pages

Pages and pack inserts for each lot: the estate, the altitude or garden, roast or flush date and brewing notes written in everyday words.

  4. Google Business Profile for the roastery

A profile with the roastery, the tasting counter if there is one, photographs, opening hours and a WhatsApp link for trade enquiries.

  5. Online shop and marketplace listings

Listings for your retail packs on your own shop and the marketplaces you choose, with photographs, grind choice, reviews and a reorder link.

  6. Festive gifting catalogue

A hamper catalogue with box sizes, tasting notes and corporate order quantities, ready for HR and admin buyers before the season.

How the result is measured

  • Enquiries by source: search, marketplace, referral and walk-in
  • Samples sent against orders placed
  • Reorders on time against late
  • Reply time to trade enquiries
  • Gifting enquiries before and after the season starts
  • Cost per order by buyer type

Recorded as a baseline before work starts, so every later report has an honest comparison.

Worth a page and a campaign of their own

Sample boxes for cafes and hotels · Whole bean and ground coffee for homes · Filter coffee and chicory blends for restaurants · Single estate and origin lots · Tea gift boxes and Diwali hampers · Coffee and tea subscriptions · Office pantry and vending supply · Bulk and wholesale price lists · Barista training and equipment bundles · Export enquiries from importers

Priority campaigns

Campaigns for what coffee roasters and tea traders most want to sell.

Each one planned around when your buyers decide, and measured against the baseline.

  • Cafe and restaurant sample campaign

Lists the new and independent cafes in your city, sends a sample box with a short WhatsApp introduction, and calls on the day the sample should be brewed.

  • Diwali and corporate gifting push

Starts in the weeks before the season: a hamper catalogue, an email and WhatsApp round to past buyers and HR and admin contacts, and a sample hamper for the larger enquiries.

  • Subscription and reorder reminders

A WhatsApp reminder per buyer based on the pack size and usual gap between orders, with a one-tap reorder message.

  • Trade enquiry capture from search and marketplaces

Search and listing pages for bulk coffee supply, wholesale tea and office pantry, with IndiaMART and JustDial enquiries logged and answered from one place.

Beyond search

Where we reach buyers of coffee roasters and tea traders, beyond Google.

Search matters, but it is rarely the only way this industry's buyers find a supplier.

  • Cafes, restaurants and hotel purchase teams

We list independent cafes, new restaurant openings and hotel purchase managers in your city and prepare a sample introduction for each type.

  • Offices, co-working spaces and caterers

Admin and facilities managers pick pantry supply. We build an introduction and a trial offer for them and track who has tasted.

  • Gift buyers and HR teams

We prepare the hamper catalogue and a contact list of HR and admin buyers, and keep the conversation going before the season.

  • Importers and exporters' agents

For export lots, we prepare a lot sheet, sample route and enquiry follow-up for overseas importers and agents.

  • Retailers and gourmet stores

Shop owners and modern retail buyers get a sample, a margin sheet and a reorder route that does not need your owner on the phone.

Who it is for

This is written for these coffee roasters and tea traders.

  • Specialty coffee roasters selling whole beans to cafes and homes

  • CTC and orthodox tea blenders and packers selling to retailers
  • Tea traders buying at the Kolkata, Guwahati, Coonoor or Kochi auctions for resale
  • Loose leaf and gourmet tea sellers for gifting and subscriptions
  • Green tea, masala chai and instant premix makers for offices and vending
  • Bulk suppliers of coffee and tea to hotels, caterers and institutional kitchens
  • Exporters of Indian coffee and tea to overseas importers

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for coffee roasters and tea traders

  1. 1

    Understand

We read your requirements brief and ask which buyers pay best, where the last ten orders came from and what happens to a sample after it is sent.

  2. 2

    Audit

We look at your enquiries by source, reply time, sample-to-order conversion and reorder gaps, and how you appear when a cafe searches for a roaster or a hotel for bulk tea.

  3. 3

    Strategise

We pick the buyer types worth chasing first, set the price lists, sample route and gifting plan, and agree what is measured.

  4. 4

    Implement

We build the profile, listings, price lists, sample tracker and reminders, and start the outreach.

  5. 5

    Measure and optimise

Results are reported against the baseline recorded before work starts. Weak buyer types are dropped and strong ones get more attention.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

Engagement options

Ways to work with us.

Pick the size of commitment that fits. Every option starts with your brief and a conversation.

  1. Option 1

    The conversation on its own

A call after you send your brief. It says honestly whether you need outside help, and many fixes are ones your own team can make.

  2. Option 2

    One fix, scoped

Start with the fix that matters most, such as reply time or follow-up. The fee is in writing before anything starts.

  3. Option 3

    An ongoing programme

We run the work, report against the baseline, and you renew on the numbers. The term and the reporting are agreed in writing first.

  4. Option 4

Guidance for your own team or agency

We plan, brief and check the work of your in-house team or current agency, instead of replacing them.

FAQ

Questions coffee roasters and tea traders ask before they call.

Not here? More answers, or ask on WhatsApp.

Do you work for small roasters who sell only a few kilos a week?
Yes, if the aim is to find the first ten dependable cafe or office buyers. The requirements brief tells us whether that is realistic. Your fee, split into GullySales time, your media spend and production costs, is put in writing after we have spoken.
Can you get us listed on marketplaces and gourmet stores?
We prepare the listings, photographs, price and margin sheets, and reorder routes for the marketplaces and stores you choose. We do not control whether a marketplace or store accepts the listing.
Do we need a website to sell coffee or tea?
A shop or listing page helps homes and gift buyers reorder. Cafes and hotels mostly want a price list, samples and a number that answers on WhatsApp, so we start there.
Can you help us with export enquiries?
We can prepare lot sheets, a sample route and follow-up for importers and agents. Export documents and licences are for your own adviser, and we do not advise on them.
Can you promise more orders?
No. Nobody can honestly promise that. We record your baseline first and report enquiries and orders against it, so you can judge the work on your own numbers.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and we tell you which applies to you after we have spoken. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
To start, last month's enquiries in any format and time with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
