GullySales

Laboratory and scientific equipment suppliers · CRM

Your most valuable list is every instrument you have ever installed.

For a laboratory supplier the record is a quotation register and an installation register kept together: who was quoted what, and what is standing in their lab with a calibration date on it. Most suppliers keep the first in a diary and the second in an engineer's notebook. GullySales puts both in one place.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What CRM means

A CRM is the record where every enquiry, call and quote is kept against a customer, replacing separate notebooks, spreadsheets and memory. GullySales sets up or cleans an existing CRM and reports from it by enquiry outcome rather than by activity logged.

For laboratory and scientific equipment suppliers

Where it usually goes wrong, and what we would do.

  • “An institution is four people, not one contact”

The professor writes the specification, the store officer floats it, the technical committee clears it and accounts releases the payment. A record with one phone number against a college name cannot tell you which of them you have never met.

  • “The installed base table is the service business”

Every oven, balance and spectrophotometer you have installed, with its warranty end, calibration due date and maintenance renewal month. Keep that in a notebook and your service income depends on the customer remembering. Keep it in the record and it depends on nobody.

  • “Consumption belongs in the record too”

What each lab buys, in what pack size, and roughly how often. That single set of fields is what lets you ring before the shelf is empty instead of after a competitor's telecaller has.

What we do

What we deliver for laboratory and scientific equipment suppliers.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A quotation register with institution, department and instrument

Every quotation and bid logged against the institution, the department, the product group, the value and the person who asked for it.

Result: You can answer how many open quotations you have without counting files.

  2. Contacts held by role inside each institution

Specification writer, store or purchase officer, technical committee member and accounts contact recorded separately, with transfers updated when a professor moves.

Result: You know which person in the college you have never spoken to.

  3. An installation register with dates that matter

Model, serial number, installation date, warranty end, calibration due date and maintenance renewal month, kept against the customer.

Result: Renewals and calibrations come up on a list instead of by memory.

  4. Consumption fields for the consumables accounts

Items, pack size and reorder interval recorded for each lab that buys routinely, so reminders can be scheduled from the record.

Result: The reorder call goes out before the lab has to think about it.

  5. Bid and authorisation documents attached to the record

OEM authorisation letters, past supply orders, turnover papers and performance certificates stored against the account rather than hunted for at bid time.

Result: A bid is submitted without a scramble for paperwork.

  6. A read-out your sales review can use

Quotations issued against orders won by product group, bids submitted and their result, and consumable accounts that reordered on time.

Result: The review argues about the right numbers instead of collecting them.

How the result is measured

  • Enquiries logged in the CRM
  • Data completeness
  • Reports generated from CRM data

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to record, and when

What a laboratory supplier should record about every quotation and every instrument installed, and whether software is needed yet.

Specification as the buyer wrote it
Copy the instrument, range, accuracy and make from the enquiry letter. Later you can see whether you quoted what they asked for or what you had in stock.
Who asked, who floats, who approves
Hold the professor or lab head, the store or purchase officer and the accounts contact as separate people on each quotation. Mark the one you have never spoken to. Keep only business contact details.
Quotation number, value and validity
Log the number, the value, the date sent and how long the price holds, plus any tender or GeM reference. Put the next follow-up date on the quotation before you close the file.
Reason a quotation was lost
Choose from a short list: price, a rival at the lowest rate, brand preference, budget cut, no reply. Colleges often tender the same item again, so the reason tells you what to change.
Serial number, warranty end, calibration due
For every instrument installed, hold the serial number, installation date, warranty end and the calibration or service due date. Your service and consumable sales start from this register.
Do you need software yet?
A sheet is enough while one person handles the quotations and the installed instruments fit on a few screens. Move to a CRM when several engineers quote, or when a calibration date was missed because it sat in a notebook.

Who it is for

This is written for these laboratory and scientific equipment suppliers.

  • Laboratory instrument dealers and distributors
  • Authorised importers of foreign scientific instruments
  • Scientific glassware and plasticware suppliers
  • Chemical, reagent and culture media suppliers
  • Consumables and disposables suppliers on monthly reorder
  • Indian makers of ovens, incubators, furnaces and water baths
  • Lab furniture, fume hood and clean room suppliers
  • Calibration, service and maintenance contractors
  • Turnkey lab set-up contractors for new colleges and hospitals

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is reply time, a follow-up sequence, the page buyers land on or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the crm work runs

  1. 1

    Map the sales process

We record how a deal actually moves from enquiry to close in your business today.

  2. 2

    Configure stages and fields

The CRM's pipeline and fields are built to match that process exactly, not a generic template.

  3. 3

    Set up automations

Reminders, assignment rules and follow-up triggers are configured so routine steps happen without manual effort.

  4. 4

    Test with real deals

We run the configuration against actual current deals to catch gaps before the whole team relies on it.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

We already use an accounting package. Is that not enough?
It records what was invoiced, not what was quoted and lost, and it holds no calibration dates. The orders you never won and the instruments due for service are precisely the two things that never appear in accounts.
Who keeps the record up to date when the engineers are on the road?
Whoever issues the quotation and whoever closes the service call, each entering a few fields at the point of the work. If updating the record is a separate evening job, it will not happen, so the entry has to be short enough to do from a phone.
Can we import our old quotation files and customer lists?
Yes, once they are cleaned. Put each quotation on one row with institution, instrument, value and date, and merge duplicate college names. Import the clean list once, then stop updating the old file so two versions never run side by side.
Who owns the customer records if we stop working with GullySales?
Your business should. Keep the CRM account in your own name with an admin login you hold, and check that you can export the full list as a plain spreadsheet at any time. Ask for that in writing before work starts.
A tender's specification matches a competitor's model exactly. Can anything be done?
Raise a pre-bid query inside the window, with the technical reason the clause should be made generic. That works sometimes. The real answer sits months earlier, when the professor or lab in-charge is drafting the specification, and that is when your instrument has to be on the table.
Do we have to be on GeM?
For government colleges, hospitals and departments, yes, and the OEM authorisation has to be in order before you bid rather than after. Private testing labs and most diagnostic chains still buy on three quotations. Both routes need watching, because they run on different calendars.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
