Clubs and gymkhanas · WhatsApp marketing

Use WhatsApp to answer applicants and keep members informed, with consent.

WhatsApp marketing for a club or gymkhana uses a business number for applicant questions, hire enquiries and event notices to members who agreed to receive them. GullySales sets up the account, the replies and the rules for groups.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

For clubs and gymkhanas

Where it usually goes wrong, and what we would do.

  • “Member groups already exist”

Families run groups for tennis parents, card players and festival committees. The club needs a clear policy on which groups are official and who moderates them.

  • “The office phone is the single line”

Enquiries to a landline go unanswered after the office closes. A business number with a greeting gives a reply at any hour.

  • “Complaints begin in groups”

A grievance posted in a group reaches the whole group before the secretary sees it. A direct channel for feedback gives complaints another place to go.

  • “Adding members without asking”

Placing a member in a group without consent annoys them. The club should invite, record the answer and allow leaving.

What we do

What we deliver for clubs and gymkhanas.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Business account set-up

Profile, hours, greeting and a list of facilities.

Result: Enquirers meet a complete profile.

  2. Saved replies

Answers on joining, timings, hire and events.

Result: Standard questions are answered consistently.

  3. A feedback channel

A route for members to raise a concern directly with the secretary.

Result: Grievances reach the committee first.

  4. A group policy

Rules on official groups, moderators and conduct.

Result: Members know which groups speak for the club.

  5. An opt-in list for notices

A way for members to agree to event notices by interest.

Result: Notices go only to those who asked.

  6. A hire enquiry flow

A greeting and set of saved replies for hall and lawn enquiries that asks for the date, the function, the guest count and the caterer in turn, then passes the thread to the events office with the answers attached.

Result: The events office receives enquiries with the details already collected.

  7. Rules for office-bearers' numbers

A short note on which numbers speak for the club, how an office-bearer's personal number hands a thread to the club number, and how the history moves when the post changes hands after an election.

Result: Conversations stay with the club when the committee changes.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the whatsapp marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Understand current WhatsApp use

We review how customers currently message you and how consistently, if at all, it is answered.

  2. 2

    Audit common questions

We identify the questions that come up repeatedly, which decide what should be automated first.

  3. 3

    Set up automation and templates

An automated first response and quick reply templates are built for the most common needs.

  4. 4

    Connect to the CRM

Conversations are linked to customer records so context carries over between team members.

  5. 5

    Measure and optimise

We track response time and conversion, refining automated responses based on what customers actually ask.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Is WhatsApp allowed for club notices?
The platform's current business messaging rules apply, so we build around consent: a member or applicant agrees to receive notices, chooses topics such as sports, events or hall hire, and can stop at any time. We keep messages to club matters and check the platform's current rules before a template is used.
Can the club moderate member groups?
Groups the club creates, such as the tennis section or the festival committee, can have named moderators and a short conduct note. Private groups that members run among themselves belong to those members, and the club does not police them. We write the policy so that members know which groups speak for the club.
Can we send bar offers?
No. Alcohol advertising is restricted and state rules vary. Dining, sport, children's programmes and event notices are fine, and a message about the Annual Day can carry the date, venue and programme without any mention of drinks. Your own adviser can confirm what the club's licence allows to be said.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
