Yoga ashrams · Follow up systems

Answer the guest who wrote from abroad before they book somewhere else.

A follow-up system for a yoga ashram is the agreed routine for replying to an enquiry, asking for an advance, confirming a stay and keeping in touch afterwards. GullySales works on writing the standard replies and the checks that make sure each guest hears back.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For yoga ashrams

Where it usually goes wrong, and what we would do.

  • “Silence reads as closed”

A guest who writes and hears nothing assumes the ashram is not taking visitors. By the time the volunteer returns, the guest has paid an advance elsewhere.

  • “The first reply must answer the question asked”

A guest asking about a vegetarian diet who receives a brochure feels unheard. The reply should answer the question first, then give the next step.

  • “The gap between reply and advance is where bookings stall”

The guest has the details and has not paid. A polite note a few days later with the payment route and the cancellation terms decides whether the booking is made.

  • “The stay does not end at departure”

A guest who left well is the best source of a review and a return. A short note after departure, with the next dates, keeps the ashram in mind without pressing.

What we do

What we deliver for yoga ashrams.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Standard replies for the common questions

Visa, arrival, pick-up, food, rooms, cancellation and payment, drafted by the ashram and kept in one place.

Result: The reply to a common question is already written.

  2. A named person and a cover rota

One person answers enquiries, and another is named for when that person is away.

Result: Every enquiry has someone responsible.

  3. A reminder list for open bookings

A view of every enquiry waiting on the guest or the office, with the last contact date.

Result: Nothing sits unanswered without being seen.

  4. A pre-arrival note

Directions, what to bring, rules and the first day's schedule, sent after the advance is received.

Result: The guest arrives knowing what to expect.

  5. A departure note with a review link

A thank-you, a request for a review and the next dates, sent after the guest leaves.

Result: Each departing guest is asked once, kindly.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Will automatic messages feel cold?
They can, so we keep them few and write them in the ashram's voice. The first reply to a real question should come from a person. Reminders and confirmations can be standard.
How many times should we follow up with a guest who has gone quiet?
Once or twice, politely, and then leave the guest alone. The ashram sets the limit. A guest who wants the stay will write again, and the door stays open.
What if the volunteer team changes?
That is why the replies and rota are written down. A new volunteer opens the same record and the same standard answers, and the guest sees no gap.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
