Animation studios · Follow up systems

Follow up every proposal until the client says yes, no or not yet.

A follow-up system for an animation studio is the set of replies, reminders and next steps that keep each quote moving after it is sent. GullySales writes the messages, sets the next-step date for every open proposal and reviews each lost quote for its reason.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For animation studios

Where it usually goes wrong, and what we would do.

  • “A quote sent is not a quote answered”

The studio sends a proposal and moves on to production work. The client is waiting on a budget approval, a founder or a second quote. Without a set next step, the proposal drifts until the client chooses someone who called.

  • “The silence has several meanings”

A client who stops replying may have lost the budget, picked another studio, changed the brief or simply been busy. One polite message asking which applies gets an answer. Repeated chasing with the same words gets none.

  • “Production pressure kills selling”

When the team is deep in a project, the open quotes are the first thing to be forgotten. A system that shows today's follow-ups, without relying on memory, keeps selling alive during busy periods.

  • “A lost quote carries information”

If a client chose another studio on price, on style or on speed of reply, that is worth knowing. Few studios ask. A short, polite request for the reason is rarely refused.

What we do

What we deliver for animation studios.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Reply scripts for each stage

Messages for the first enquiry, the clarifying questions, the quote, the check-in and the close-out.

Result: A script for each stage, each written in the studio's voice.

  2. Next-step date on every quote

Each open proposal carries one named next step and an owner.

Result: No open quote sits without a next step.

  3. Check-in messages that add something

Follow-ups that bring a new sample, an answer to a likely question or a note on the schedule, not a bare reminder.

Result: Every follow-up gives the client a reason to reply.

  4. Lost-quote review

A short record of why each quote was lost and what the client chose instead.

Result: A list of reasons, so you see whether style, price or timing loses the most.

  5. Quote tracker

A view of all open proposals by client, stage and next step.

Result: A single page showing every proposal that needs an action today.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How many times should we follow up?
There is no fixed count. Follow up as long as there is something useful to say and the client has not declined. When the client asks you to stop, stop politely and note the reason.
Will following up make us look desperate?
Not if each message is useful. A note that shares a relevant sample or confirms a date is a service. Pressing for a decision with no new information annoys a client.
Who should do the follow-up?
Someone who knows the project. The producer or studio head should own it, because a client replies more readily to the person who wrote the quote. We provide the scripts and the tracker.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
