Fish hatcheries · Follow up systems

Call back every farmer who asked, on the day you said you would.

A follow-up system for a fish hatchery is a fixed routine that turns an enquiry into a booking and a booking into a collection day and a payment. GullySales works on who calls whom, with what information, and how each reply is written down.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For fish hatcheries

Where it usually goes wrong, and what we would do.

  • “The enquiry is warm for a short season”

A farmer who asks about seed is deciding while preparing the pond. A callback after the stocking date is useless, because the pond has been filled from another hatchery by then.

  • “Advance money is chased by embarrassment”

Asking a farmer for the balance feels awkward, so it is put off until collection day, when the farmer arrives without cash. A written agreement at booking, stating advance and balance, removes the awkwardness.

  • “After the sale the hatchery goes silent”

Once the bags are loaded nobody asks how the seed arrived. A call after stocking tells the farmer you care, brings early warning of any trouble and can lead to the reorder or a neighbour's name.

  • “Traders need a different rhythm”

A reseller who carries seed to distant farms plans around supply. A reminder with the batch calendar and a clear cut-off for orders suits them better than an occasional call that arrives when they have already bought elsewhere.

What we do

What we deliver for fish hatcheries.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A callback rule for every enquiry

Each enquiry gets a named person, a day to call and a record of the reply.

Result: No enquiry sits without a callback date.

  2. A booking confirmation message

A short WhatsApp message sent after booking with species, quantity, advance paid, balance due and collection day.

Result: The farmer holds the same facts the hatchery holds.

  3. A reminder before collection

A call or message ahead of the collection day, covering vehicle, containers and payment.

    Result: Farmers arrive prepared.

  4. A check call after stocking

A short call to ask how the seed arrived and whether anything needs noting against the batch.

Result: Early problems reach the record, not the village.

  5. A reopening round for next season

A list of last year's buyers contacted before the rush with the new calendar.

Result: Past buyers hear from you before they hear from others.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

How many follow-ups is too many?
The number matters less than relevance. Each contact should carry something the farmer needs, such as a date, a quantity or a collection detail. We set the rule with you so contact never turns into pressure.
What if a farmer says no?
Note the reason and the farmer's plan for next season, then leave them. A polite no recorded properly becomes a booking later, and the note tells you whether it was price, species or timing.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
